Job Description:

The Ohio Commission on Minority Health is dedicated to eliminating disparities in minority health through innovative strategies and financial opportunities, public health promotion, legislative action, public policy and systems change.

 

This position is unclassified pursuant to Section 124.11 (A)(9) of the Ohio Revised Code.

 

The Minority Health Commission is seeking an individual to perform the following duties:

 


  • Assist Executive Director in routine & non-routine tasks (e.g., prepare confidential documents, personnel issues, reports, independently formulate decisions &/or judgments for non-legal interpretation of policy & procedures).


  • Responsible for oversight & implementation of Minority Health Month Program (i.e., bids, event planning & coordination of awards & Expo activities).


  • Conduct staff meetings in absence of Executive Director (e.g., communicate directives & decisions).


  • Manage Commission office functions & maintain Commission calendar.


  • Serve as liaison between Commission Board members & subordinates (e.g., interpret decisions & directives).


  • Schedule meetings & conference calls.


  • Responsible for staff scheduling & coordination of time-off.


  • Research & respond to public, legislative, & government inquiries & complaints.


  • Provide clerical support for Commission administration & staff.


  • Enter higher level staff's travel authorization using OAKS FIN & responsible for processing & monitoring payments & account balances & maintain & track accounts receivable & payable through OAKS FIN.


  • Responsible for grantee & vender payments & monitor internal controls to comply with auditing guidelines & fiscal procedures.


  • Develop bids, goods &/or services.


  • Act as liaison between Attorney General & other departments to negotiate contracts & grant initiatives.


  • Prepare & process grant applications.


  • Coordinate internal/external grant reviews.


  • Provide grant technical assistant sessions & communicates for grantees.


  • Maintain Commissions website.


  • Create & maintain grantee files & databases (e.g., listings), coordinate information for Commission newsletter.


  • Operate personal computer with word-processing & database software (e.g., Microsoft Office Suite).


  • Prepare & submit biweekly payroll in OAKS to Central Service Agency.


  • Assist administration in processing personnel issues (i.e., position descriptions).


  • Serve as Commissions purchasing agent for supplies, furniture & office equipment.


  • Place work orders for equipment repair &/or maintenance.


  • Maintain Commission's equipment inventory according to state guidelines.


  • Handle sensitive telephone calls.


  • Channel calls to appropriate parties for responses.


  • Provide back-up duties for fiscal personnel during absence, maintain & track incoming/outgoing accounts payable/receivables (e.g., vendor invoices, checks & deposits) & conduct monthly reconciliations.


  • Perform clerical tasks (e.g., receive, open, log & distribute incoming mail).


  • Maintain log of all electronic equipment that goes out of office (e.g., laptop computers, cell phones & projectors).


  • Coordinate & lead Commission staff with bulk mail preparation.


  • Serve as coordinator for various state programs (e.g., Combined Charitable Campaign & annual health enrollment).


  • Attend events sponsored by Commission & other related entities.


  • Demonstrate commitment to customer service performance standards in alignment with agency's promise to deliver service, support & solutions to customers.


 

Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 mos. exp. in secretarial/administrative professional field.

-Or 30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.


-Or 12 mos. exp. as Administrative Professional 2,16872.


-Or equivalent of Minimum Class Qualifications For Employment noted above.
