Job Description:

Events Manager plans, directs, coordinates, promotes, and manages the club’s social and recreational activities that are designed to enhance the overall enjoyment of the membership and to retain membership in the club. Promotes the club’s dining facilities for private banquets, business and social meetings, and other member-related activities.  Develops contracts for and oversees all administrative and operational aspects of preparing and serving events.  


 


Duties and Responsibilities



  • Works with management to create and implement all scheduled activities and special Club events on the Club’s calendar for each month.  Plans the calendar at least 3 months out.

  • Plans, promotes, and generates enthusiasm and interest for the club’s diverse social programs; coordinates the efforts of volunteers and the club’s team.

  • Ensures that special publicity needs and supplies for each program are met; decorates areas for promotions.

  • Creates and monitors the RSVP sheets regularly to ensure accurate signups, determine cancellations, guarantee proper payment, etc.

  • Arranges classes for members on a wide range of topics.

  • Coordinates with food and beverage department personnel to plan major food promotions throughout the year and special monthly dining room promotions.

  • Maintains visibility in the community with retailers, artists, entertainers, etc., to use these resources for the benefit of the club’s membership.

  •  Keeps an accurate record of programs, including an Event Planning Sheet and an Event Review. Keeps an accurate history file of each event; writes follow-up “thank you” letters. 

  • Works closely with all other club departments to ensure that complete, concise information goes to both club members and the staff who will be working directly with each social event.

  • Supervises the Event Team and helps assure that an effective program of recreational and educational events for members’ children and guests is ongoing.

  • Develops programs and oversees use of fitness /wellness programming.

  •  Works in detail with Membership Director to ensure programming is suited for all members.

  •  Helps guests arrange banquets, luncheons, meetings, weddings, dances, and other social events; obtains pertinent information needed for guest planning.

  • Provides guest tours and offers suggestions in efforts to sell the merits of the club’s facilities for the occasion being planned.

  • Works with the Chef to determine selling prices in efforts to sell the merits of the club’s facilities for the occasion being planned.

  • Suggests menu and helps guests plan menu in conjunction with the Executive Chef and/or other culinary personnel.

  • Works in transmitting necessary information to and conducts event planning with production, serving and housekeeping staffs; arranges for printing of menu and procuring of decorations and entertainment.

  • Inspects finished arrangements; may be present to oversee the actual service and greeting the guests.

  • Checks special function sheets against room set-up, oversees personnel scheduling for special functions and may help supervise service personnel.

  • Oversees scheduling of periodic food and beverage service employee meetings to assure correct interpretation of club policies.

  • Handles client complaints.

  •  Maintains past and potential client files; schedules calls/ visits to assess on-going needs of prospective clients for catering services.

  • Helps develop catering sales budgets; reviews financial reports and takes corrective actions as appropriate.

  • Helps guest with parking, entertainment, decorations, audio/ visual and any other requirements integral to events being planned.

  • Available to work overtime when required

  • Other duties as assigned by Manager


 


Safety and Environmental Responsibilities



  • Follow SHM Safety and Environmental rules and complete required related training.

  • Wear proper personal protective equipment as required for the task or work area.

  • Report all accidents, injuries, spills and near misses immediately.  


 


Technical and Physical Requirements



  • High school diploma or equivalent required

  • TIPS certified preferred

  • 2 years’ restaurant experience preferred

  • Ability to stand for long periods of time

  • Ability to bend, stoop, lift, rotate, reach

  • Ability to lift 50 pounds
