The University of Miami Clinical & Translational Science Institute's (CTSI) Departmental Grant Accountant will play an important role in post-award compliance and will be responsible for reconciling and tracking research administration and operational expenditures across all CTSI programs to ensure costs are allowable and that grant periods are adhered to, monitoring sponsored research accounts from set up through closeout while adhering to University, state, and federal policies. The incumbent will utilize expenditure tracking systems ensuring accurate and timely monthly, quarterly and year end close reporting, and provide financial transactional support for the CTSI fiscal management and operational leadership team. S/he will monitor all non-payroll financial research administration activities through initiating and coordinating financial transactional items for the CTSI. S/he will also assist the fiscal management team with preparing standard and ad hoc reports.



DEPARTMENT SPECIFIC FUNCTIONS:



  • Monitor and track CTSI operational and sponsored accounts to ensure timely processing of all required and proactive financial activities.


  • Reconcile monthly expenditures utilizing departmental and University financial systems.


  • Verify accounting entries for accuracy and resolve accounting discrepancies and irregularities. Alert supervisors of any disallowances, irregularities pertaining to budget distribution or expensing patterns, invoicing issues, erroneous encumbrances, overdrafts, and/or any discrepancies requiring escalation.


  • Collect, input, and closely monitor activity on all CTSI sponsored accounts on a regular basis including following up with departments for the necessary backup documentation.


  • Prepare and process purchase requisitions, consulting agreements, subcontracts, computer orders, non-payroll transfers, awardee payroll transfers, and invoices.


  • Monitors and tracks account to ensure timely processing of required payments to vendors ensuring proper signatures and approvals are obtained.


  • Prepare special or one-time reports, summaries and other correspondence selecting relevant information from a variety of sources and systems using judgement and discretion.


  • Analyze a variety of financial data and produces relevant reports in a clear, concise, and timely manner for use by management during critical decision making as required by CTSI internal leadership including meeting internal and external financial reporting deadlines.


  • Ensure accurate and timely monthly, quarterly and year end close reporting, including the preparation of estimates, encumbrances, and corrective journal entries.


  • Analyze operating practices and maintain an effective electronic filing and triaging system for highly confidential financial information and documents including record keeping, forms control, workflow, and recommend changes as needed. Interpret and adapt to guidelines including policies, procedures, and practices.


  • Make recommendations to align policies and procedures with best practices.


  • Trains peers on travel policies, expense reimbursement policies and procedures including allowability of research funded expenditures.


  • Oversee finances related to travel arrangements and ensure applicable University and Federal regulations are adhered to for all domestic and international travel for visitors, travelers, and CTSI sponsored events.


  • Negotiate with vendors to ensure sensible stewardship of University and Sponsored resources. Make recommendations to capitalize on financial opportunities and potential cost savings to the CTSI.


  • Set up approval loops and access requests for new sponsored accounts as needed.





CORE QUALIFICATIONS:




Education:



Bachelor's degree in relevant field



Certification and Licensing:



Certification in relevant specialty or field



Experience:


Minimum 3 years of relevant experience



Knowledge, Skills and Attitudes:



  • Exceptional attention to detail and accuracy, and excellent mathematical and analytical skills.


  • Demonstrated knowledge of federal and sponsor specific regulations related to research administration and allowability of research administration expenditures, including, cost accounting standards, federal acquisition regulations, and major federal funding agency guidelines.


  • Knowledge of generally accepted accounting principles and practices (GAAP).


  • Knowledge of budget control methods, policies, and procedures.


  • Ability to prepare financial and accounting records.


  • Ability to analyze, consolidate, and interpret accounting data.


  • Ability to compile, organize, interpret, and communicate accounting data and results concisely.


  • Ability to translate and summarize numbers into an understandable narrative to others.


  • Ability to manage a budget and work within the constraints of that budget.


  • Customer service oriented with excellent communication and interpersonal skills, exercises good judgement and ability to collaborate well with others.


  • Excellent computer skills and facility with using Microsoft Office, particularly MS Excel (sorting, pivot tables, filtering, basic formulas).
