Position Summary


Reporting to the Senior Manager, Development in the office of the Chief Development Officer (CDO), the Executive Assistant to CDO acts as a resource to the CDO, project-managing collaborative fundraising efforts on behalf of the CDO. The Executive Assistant to CDO will be an integral part of the Development team, assisting with a variety of needs to broaden the scope and effectiveness of the fundraising program.


Compensation:


Salary range based on geo-differentials:


  • $32.00-$43.00/hour = National

  • $36.00-$46.00/hour = Alaska, CA (not San Francisco), Connecticut, D.C., Chicago, Oyster Bay, NY

  • $40.00-$50.00/hour = NYC (not Oyster Bay), San Francisco, Seattle


  • Essential Functions


  • Manage the CDO’s calendar, maintaining a forward-looking and nuanced understanding of internal and external priorities.

  • Coordinating meeting preparation and follow-up, and supporting the development and execution of donor strategies assigned to the CDO.

  • Assist CDO in managing and implementing fundraising plans for Board Directors, tracking all relevant information and next steps appropriately in Salesforce.

  • Assist with preparing proposals, reports, special donor correspondence, donor/prospect meeting briefings and event briefings as needed.

  • Assist with the writing and mailing of donor acknowledgment letters on behalf of the CDO.

  • Support the CDO in managing fundraising plans for the organization’s top prospects, including ensuring activity is accurately and promptly recorded in Salesforce.

  • Assist the CDO and other team members with basic technical and logistical needs, such as travel planning, expense reconciliation, printing and preparing materials, and mailings.

  • Ensure timely processing of all expenses, invoices, and contracts.

  • Schedule conference calls, meetings, and travel arrangements for CDO and assist other development management staff when appropriate.

  • Assist with planning logistics for internal meetings and workshops, manage invite and RSVP lists, order catering, and collaborate on logistics with other support staff, as needed.

  • Coordinate the logistics, agendas, supporting materials, and any necessary follow-up for the weekly Development Management Team meeting, as well as the monthly Development meeting.

  • Provide support to the CDO with Board meeting and committee preparation.

  • Assist and attend donor centric events and staff the CDO at these events, as needed.

  • Maintain data input in Salesforce for CDO donor meetings and other Executive Team member’s activities and next steps. Create and distribute report information to relevant parties, as appropriate.

  • Other special projects, as assigned by the CDO.


  • Qualifications and Experience


  • Bachelor’s degree and a minimum of 2 years’ experience (or any suitable combination of education and experience) in a professional setting supporting senior-level staff, ideally on a decentralized fundraising team.

  • Proficient in Microsoft Office suite, to include Word, Excel, Outlook and PowerPoint.

  • Experience with donor tracking software and web-based systems strongly desired. Knowledge of Salesforce a plus.

  • Excellent written and verbal communication skills, as well as a strong ability to edit and proofread documents.

  • Detail-oriented approach to work with strong organizational skills, and the ability to maintain confidential information with discretion and integrity.

  • A self-starter, who is able to prioritize and complete work with minimal supervision while meeting deadlines.

  • Professional, personable, and efficient approach to all aspects of position; must be a team player with excellent interpersonal skills.

  • A flexible approach to work, with the willingness to travel and work some evenings, if needed.

  • Interest in development, conservation and the mission of the National Audubon Society.
