Responsibilities

Manages the administering of scholarships for the FSU Foundation and aids with funds management.


Responsible for scholarship administration and support. Responds timely to scholarship inquiries and ensures students meet donor criteria on scholarships awarded. Approves scholarships. Administers Hartley/Overturf scholarships. Coordinates efforts with Financial Aid to ensure proper awarding of scholarships. Collaborates with the stewardship team to organize bi-annual scholarship meetings to train the campus community on the Foundation scholarship process. Prepares reports as requested.


Acts as system administrator of the FS4U scholarship system. Oversees the opening, closing and modifying of scholarships. Oversees modifications, granting, and termination of user access. Monitors student academic progress to evaluate continued scholarship eligibility. Approves or denies student offers for academic scholarships based on donor intent, available budget, and valid student enrollment. Monitors FS4U e-mails and help desk tickets, responds to inquiries, and provides assistance to users. Ensures data between financial and scholarship systems remain in sync. Performs updates to college-wide applications as well as individual scholarship applications and implements application dates.


Coordinates with Foundation staff regarding updates to fund purpose, fund names, database attributes, transfers between funds, and fund closures. Assists with the cycle management process. Directs user trainings. Conducts audits of the centralized scholarship database (FS4U) monthly to reconcile scholarship expenditures and validate user access, administrator credentials, fund names, scopes, and qualifications. Researches federal and state legislation as it relates to protected classes, uniform prudent management of institutional funds, and matching grant programs. Prepares system statistics and reports regarding metrics and financial information as needed.


Collaborates with funds manager on research and responses to fund inquiries to ensure compliance with donor intent and all applicable laws and statutes as they pertain to the oversight of funds management. Provides expertise and guidance on fund usage. Reviews and interprets documents for donor intent and fund restrictions. Collaborates with Foundation and University staff on requested changes involving fund purposes.


Develops and maintains desktop policies, procedures, and related forms. Compiles, prepares, and analyzes information related to audits, tax returns, and other fund reporting matters. Assists with the development of annual budgets and financial projections by providing any necessary details, and monitors revenue and expense activity to ensure it is appropriately recorded. Prepares annual fund reports for Challenge Grant and Ringling Museum. Responsible for preparing other routine financial reports and financial analyses. Monitors expenditures to ensure compliance with state-matched funds. Organizes meetings pertaining to funds management and scholarships as requested. Assists in the review of the Foundation's quarterly financial statements.


Assists in the configuration of Financial Edge for the Real Estate Foundation and ensures data integrity between financial and donor systems. Prepares journal entries to record interfund payables and pay downs for real properties held for resale by the Real Estate Foundation.


Performs special projects as requested. Interacts with Foundation and University personnel to resolve problems and provide customer service. Serves as backup to General Accounting Associate in the mail room. Other duties as assigned.

Qualifications

Bachelor's degree and two years of experience; or a high school diploma or equivalent and experience equal to six years. (Note: post high-school education and/or experience may substitute at a comparable rate.)


Ability to communicate effectively verbally and in writing.


Knowledge of and ability to interpret and apply related University, Foundation and Alumni policies, procedures, principles and practices.


Ability to develop and implement policies, procedures, goals, and objectives.


Ability to establish and maintain effective working relationships.


Ability to evaluate process effectiveness and develop change or alternatives.


Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.


Ability to perform accurately in a detail-oriented environment.

Preferred Qualifications

Experience in OMNI (PeopleSoft) is a plus.

Anticipated Salary Range

Anticipated salary $38,060, commensurate with experience and education.
