Job Description:


Executive Administrative Assistant



 



JOB SUMMARY:



Performs administrative duties for the President. Also supports the CEO, CFO,  and Vice Presidents, as needed.  Maintain the ability to work in a demanding environment with a high level of confidentiality.



 



ESSENTIAL FUNCTIONS:




  1. Managing, communicating, and preparing incoming and outgoing electronic communications, letters and calls on behalf of the President.


  2. Maintain calendar appointments and deadlines.


  3. Organize and prioritize multiple tasks and complete them under time constraints.


  4. Responsible for reserving all travel arrangements for the Corporate staff and others as needed.


  5. Plans meetings and events including large scale events such as the annual meeting and conventions..


  6. Reconcile corporate credit card statement.


  7. Update the Company Directory.


  8. Assist with daily correspondence and filing.


  9. Process vendors credits and redemptions.


  10. Generates IC Plans, Comp Plans, and Customer Appreciation Plans as requested by President, Exec Vice President of Sales, VP, and Regional Managers.


  11. Assists with other projects as needed including mails, petty cash and errands.







ACCOUNTABILITY:



Reports directly to the President and supports CFO, Vice Presidents, and Human Resources.







JOB QUALIFICATIONS:



Well organized person with excellent administrative and interpersonal skills.  Ability to handle a large number of administrative duties and prioritize those duties and at the same time being detailed oriented. The ability to accurately complete assignments within the prescribed time deadlines.



 



            Education and Experience:




  1. Education equivalent to completion of the 12th grade.


  2. A minimum of five (5) years’ experience as an executive assistant to a C level executive.







Knowledge, Skills, and Abilities:




  1. Excellent English language usage, spelling, and arithmetic.


  2. Excellent written and verbal communication skills, strong decision making ability in a sometimes ambiguous situation.


  3. Ability to prioritize and attention to details as well as being flexibility and adaptable.


  4. Extensive computer knowledge and skills including MS Office, Word, Excel, Outlook, PowerPoint, database management system (Eclipse), mail merge, and the ability/aptitude to learn additional software as needed.


  5. Knowledge of office methods, practices, and procedures.


  6. Ability to work effectively with minimal or no direction.


  7. Excellent time management skills and problem solving skills as well as follow through.


  8. Ability to maintain cooperative working relationships as part of a team effort with those contacted in the performance of duties, to include all executives, other employees and customers.


  9. Good attendance and punctuality is a must in this position.
