EXECUTIVE ADMINISTRATIVE ASSISTANT        


VineBrook Homes is an internally managed real estate investment company, focused on acquiring, renovating, leasing and operating single-family homes as rental properties. An early investor and developer of the Single-Family Rental home (SFR) asset class, we commenced operations in late 2007. Our proven, yield-focused investment strategy targets a unique opportunity building a portfolio of workforce SFR assets in key secondary and tertiary markets. Our growing SFR REIT portfolio is currently comprised of approximately 21,000+ homes. VineBrook Homes is undergoing a major expansion of its strategy, expecting to drive toward 25,000+ homes.


Position Summary/Objective


 


An Executive Administrative Assistant is an employee who provides high level administrative support to executives in the workplace, such as taking calls, scheduling meetings, managing executive requests, and other office duties. This position requires someone who has excellent verbal communication skills, good judgement, and strong time management skills to meet deadlines.


 


Essential Duties and Responsibilities


 


·        Act as the point of contact between the executives and internal/external clients


·        Undertake the tasks of receiving calls, take messages and routing correspondence


·        Handle requests and queries appropriately


·        Maintain diary, arrange meetings and appointments, and provide reminders


·        Make travel arrangements


·        Take dictation and minutes and accurately enter data


·        Monitor office supplies and research advantageous deals or suppliers


·        Produce reports, presentations, and briefs


·        Develop and carry out an efficient documentation and filing system  


Minimum Qualifications (Knowledge, Skills and Abilities)


 


·        Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position


·        Full comprehension of office management systems and procedures


·        Excellent knowledge of MS Office


·        Proficiency in English


·        Exemplary planning and time management skills


·        Up-to-date with advancements in office gadgets and applications


·        Ability to multitask and prioritize daily workload


·        High level verbal and written communications skills


·        Discretion and confidentiality


·        High School degree; additional qualification as personal assistant would be considered an advantage
