Position Function:
The Office Supevisor directs and coordinates the office and administrative functions of the branch. The position carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.  Responsibilities include interviewing, hiring and training employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
 
Essential Duties and Responsibilities


  • Analyzes and organizes office operations and procedures such as answering the telephone, typing, bookkeeping, preparation of payroll, correspondence, filing, requisition of supplies, and other office services.


  • Evaluates office production, revises procedures, or devises new means to improve efficiency of workflow.




  • Coordinates and supervises activities of various office departments and/or workers within departments.




  • Reviews clerical and personnel records to insure completeness, accuracy, and timeliness.




  • Prepares invoicing for mailing.




  • Compiles management reports for GM.




  • Ensure Finance and Human Resources audit requirements are followed, and reports submitted by required due dates.




  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.




  • Monitors receivables and payables; reviews GL report and financials for Accounting.




  • Process order entry and accounts payable coding, controls purchase orders and their disbursement.         




  • Prepares daily bank deposit and controls general and administrative costs.




  • Coordinates safety meetings and maintain the safety files, prepares and files reports of accidents and injuries at establishment.




  • Maintains inventory control; and asset listing.




  • Requisitions office supplies and equipment.




  • Conducts new employee orientation and processes new employee’s paperwork at date of hire. 




  • Plans employee activities and events.




  • Process payroll and monitor overtime.




 

Requirements


  • Working knowledge and proficiency with MS Word, Excel, Lotus Notes.

  • Familiarity with AS400 and JD Edwards preferred.

  • 3-5 years supervisory experience in an office environment.

  • High school diploma/GED required.

  • College experience preferred..

  • Excellent written and verbal communication skills, self motivated, self starter, sense of urgency, personable, extroverted personality and well organized.

  • Strong leadership and business metrics management skills.

  • Strong relationship building skills.

  • A motivated individual with the ability to analyze problems and provide solutions.  Possess the ability to multi-task and the willingness to give assistance in warehouse operations.

  • Must have valid DL


Physical/Work Environment Requirements


  • Ability to stand for long periods of time in a non-climate controlled environment.

  • Ability to lift up to 50 pounds.
