The Senior Staff Assistant for the Decker College of Nursing and Health Sciences Division of Physical Therapy provides comprehensive support to the Division enabling the efficiency and effectiveness of the Program.




The Senior Staff Assistant coordinates multiple, complex priorities in a demanding, fast paced and high-profile environment facilitating the efficient management of the office workflow by simultaneously handling numerous details and challenging situations. This position is responsible for providing administrative support for the DPT program and serving as a representative of the program to the administrative units within the college and the university.




This position is full-time and will require the successful candidate to manage essential program data including DPT program legal contracts, fieldwork/clinical education software management, accreditation documents and student admission information. The ability to multi-task and prioritize work related to deadlines and follow up on projects will require a high level of independence and strong organizational skills. This position may occasionally need to serve as first point of contact for customer service to meet the needs of students, faculty, and visitors in a professional manner.

This position will:





  • Work collaboratively in a team environment with the school, the college, and university colleagues, including the Decker College Dean's Office, Departments, the University Human Resources Office, the University's Communications & Marketing Office, University Graduate Admissions, Decker College Advising supporting various projects and initiatives.

  • Plan and implement special event programming as required, with attention to detail and problem resolution as required.

  • Assist the Division Director in conducting needed surveys such as: graduate surveys, employer surveys, and annual accreditation reports.

  • Assist with monitoring expenditures including reconciling a purchasing card and the maintenance of financial accounts and records, including reconciling various vouchers and receipts; performing records management using judgment and knowledge of office requirements, updating files and records, determining retention and purging schedules, and retrieving files and documents as needed and including travel and reimbursement ensuring compliance.

  • Enacts commitment to the mission and the values of the Division of Physical Therapy's articulated philosophy.

  • Performs routine administrative support functions for the Division of Physical Therapy's faculty, staff, and students.

  • Initiates and manages systems for organizing documents, records, files, related to students and work of the Division in a confidential manner.

  • Maintains up to date databases and files for course syllabi, faculty CV's, New York PT licenses, CPR and other applicable clinical requirements.

  • Maintains up to date databases and files for CPR, background checks and other applicable clinical requirements of students for clinical education.

  • Coordinates event planning activities for the Division's hosted and/or sponsored events.

  • Coordinates work study related activities for the Department, such as, but not limited to: attending work study events, speaking with candidates, supervising student worker's completion of assigned tasks, and monitoring completed hours.

  • Assists the Division Director, faculty, and staff with the development of annual statistical reports for outside agencies.

  • Assists the Division Director, faculty, and staff with the development of reports and site preparation for the DPT program's CAPTE accreditation.

  • Provides faculty with essential materials for their preparation of syllabi, etc. that are in compliance with college requirements.

  • Collaborates with Division Director and faculty to maintain updated DPT cohort schedules and works closely with SLATE and Degree Works.

  • Collaborates with Division Director to develop teaching assignment worksheet and clinical adjunct faculty contracts.






Requirements:





  • Bachelor's degree required and three or more years of related experience with proven office administration, human resource management and customer service skills.

  • Demonstrated ability to exercise sound judgment, and handle confidential matters with tact and discretion.

  • Must be highly motivated and detail oriented with the flexibility to multi-task and the ability to change direction as needs require; able to work well under pressure, problem solve and able to think outside the box.

  • Must be very personable with demonstrated strengths in interpersonal relations and the ability to collaborate and communicate complex material effectively with a diverse group of individuals including faculty, staff, senior administrators, community partners, students and visitors.

  • Must possess strong oral/written communication skills and technical expertise in business management tools including spreadsheets, word processing, calendar tools, and presentation software.

  • Must be able to maintain confidentiality and use a high degree of discretion.

  • Works in a professional and focused manner to schedule and prepare for internal and external meetings with various stakeholders including campus leadership, faculty and staff, industry and university partners, advisory board members and project teams.

  • Able to travel and work evenings and weekends on occasion.
