Job Summary


This position is responsible for maintaining the integrity of the Enterprise Master Patient Index (EMPI) as well as promoting supportive relationships between the HIM department, Medical and Nursing staffs, and Information Systems regarding documentation compliance standards and chart completion. The incumbent will perform the release of information duties in response to all subpoena, attorney and Risk Management requests ensuring all requests are compliant adhering to hospital policy as well as State and Federal guidelines. This position also performs chart audits based on accreditation standards and federal requirements along with performing the Epic Release to Inspector function. The main responsibility will be medical record merging and secondary is legal release of information.


Job Responsibilities



  • Serves as a liaison between HIM, Patient Access, Care Networks, Clinical areas and IS to monitor and resolve patient medical record number issues. Provides appropriate updates to all downstream systems staff contacts.

  • Coordinates the release of information with Legal and Risk Management Departments.

  • Ability to understand and prepare complex internal and external legal requests and subpoenas.

  • Addresses and corrects integration issues within Epic and downstream applications.

  • Work closely with IS Support to resolve any integrity issues in support of an accurate master patient database.

  • Understands and complies with all enterprise and IS departmental information security policies, procedures and standards.

  • Ability to analyze and interpret data; detail oriented to perform in depth quality review of records.

  • Manages the Wells Fargo lock box daily for payment, apply payment to request and send requested medical records.

  • Represent the hospital in court procedures/depositions when needed.

  • Supports the integration of information security in the development, design, and implementation of Hospital Technology Resources that process, transmit, or store CHOP information.

  • Supports all compliance activities related to state, federal regulatory requirements, healthcare accreditation standards and all other applicable regulations that govern the use and disclosure of patient, financial, or other confidential information.

This position will work 80% remote, 20% on site at our offices in Philadelphia.


Required Licenses, Certifications, Registrations


RHIA or RHIT

Required Education and Experience


Required Education: Associates degree

Required Experience Two (2) years of progressive experience in HIM or an HIM related area.


Preferred Education, Experience & Cert/Lic


Preferred Education: Bachelor's degree

Preferred Experience: Three (3) or more years of progressive experience in HIM or an HIM related area.

  • Ability to navigate through Epic and OnBase and locate information or identify source of required information.

  • Ability to work within a team

  • Knowledge of Microsoft Office.

  • Detail oriented with critical thinking skills.

  • Must be able to demonstrate proven problem solving, analytical thinking and customer service.

  • Verbal and written communication skills.

  • Ability to perform job function and make decisions without direct supervision.

  • Skilled in personal organization and time management.

  • Demonstrates ability to learn/use various hospital information systems at a high level.

  • Ability to work with all hospital personnel both positively and productively
