The Agency Operations Manager is accountable for the project planning, workflow, scheduling, and reporting activities for the Marketing & Communications department. This role is also responsible for working closely with business stakeholders to keep key projects moving to meet defined deadlines ensuring all projects are completed on time. The Agency Operations Manager's success will be dependent on the ability to understand project requirements, track and communicate progress, and collaborate effectively to ensure deliverables are prioritized and completed in support of corporate and departmental objectives.
Section 2: Job Functions, Essential Duties and Responsibilities
Lead the Marketing workflow management team-with accountability for processes and systems used for the intake, evaluation, prioritization, audit, resourcing, handoff, tracking, and measurement of work
Champion processes and procedures to ensure adherence to common standards, and improve onboarding, compliance, business continuity readiness, and risk management
Manage enterprise workflow management tools and vendors.
Maintain and deliver a roadmap to advance use, adoption, and functionality enhancement
Develop and maintain project plans, schedules, and timelines
Act as the project coordinator for strategic initiatives
Track and escalate projects that are at risk of missing deadlines, working with impacted parties to revise schedules, or applying problem-solving techniques to ensure a project or process remains on schedule.
Manage and socialize marketing operations health reports and dashboards, keeping leadership informed of notable trends, risks, opportunities, and alignment with operational goals
Manage and maintain marketing asset library, including governance of storage, retrieval, and regular review to keep digital assets updated
Supports the management of the team's digital file directory.
Protect, secure, and properly handle all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients

Assist with other tasks as assigned
Supervision
Supervise, coach, and develop a team of up to 5 traffic and project coordinators.
Represent Marketing at key meetings on operational initiatives to present marketing ideas and secure buy-in from leaders and stakeholders
Create trust and partnership within and outside Marketing to manage communications calendars and project program schedules
Oversee the progression of key operational initiatives from conception to completion
A minimum of 7 years of relevant experience; regulated industry or marketing agency experience preferred
Bachelor's degree in marketing or related field
Proven experience managing, building, and motivating teams
Ability to foster trusting relationships with a team, clients, and colleagues
Demonstrated strategic, analytical, and critical-thinking skills
A pioneering spirit and experimental thinker motivated by new ways to solve problems
Strong oral and written communication skills with the ability to influence
Advanced understanding and implementation of project management principles and software.
Workfront experience highly preferred.
Experience working with MS Product Suite including Excel and PowerPoint
