Position Objective

Konica Minolta Business Solutions, U.S.A., Inc. is currently seeking a Travel And Expense Administrator. This position is responsible for auditing and approving expense reports; and ensuring expenses submitted are in compliance with KMBS travel and expense policies. This is a high volume processing environment and position requires the ability to be flexible and adaptable to change.

Essential Job Functions


  • Audit and process high volume of expense reports in Concur Expense to ensure they are compliant with KMBS travel policy and conform to any requirements imposed by the Internal Revenue Service.

  • Audit issues identified by Oversight (3rd Party Auditing Tool) to determine if there are any compliance issues with KMBS travel policy and resolve as appropriate.

  • Audit and post Concur Standard Accounting Extract into SAP weekly.

  • Reconcile and enter Amex meeting card statements into SAP. This includes processing payments as required.

  • Reconcile credit card charges to submitted expense reports and credit card statements. Conduct research to determine correct courses of action.

  • Post refund checks into SAP for duplicate payments found using Oversight tool and properly document refund in Oversight.

  • Create and submit excel file to Payroll for employee gift/award expense. Track information to ensure proper handling of taxable vs non-taxable items.

  • Create and enter journal entries for miss-classified expenses on expense reports. Make corrections as needed to process promptly under the right categories.

  • Create and update employee direct deposit information into SAP vendor master.

  • Process returned direct deposit payments in SAP.

  • Maintain open communication and follow up via phone and/or emails as required. Escalate questions and/or issues timely to ensure prompt resolutions.

  • Provide superior customer service to users in resolving issues related to the Concur expense reporting tool and Corporate Amex card.

  • Monitor and respond to emails in the Concur Help and Travel & Expense mailboxes.

  • Provide recommendations on process improvements to create a more efficient department.

  • Process credit card payments for non-Amex users.

  • Perform other duties as required to support the department.

  • Ability to work as a team player in a fast paced environment.

  • Able to maintain confidential information with banking and Amex accounts.

  • Exceptional attention to detail and ability to follow through to resolution on issues.

  • Excellent verbal and written communication skills.

  • Intermediate to advanced Microsoft Office Suite skills (Word, Excel).

  • Knowledge of SAP preferred

Experience, Educational Reqts and Certifications


  • Associate Degree in accounting or business related field.

  • 2 - 3 years of experience in Travel and Expense or AP field.

  • 1 - 2 years of experience with Concur and Oversight.
