Summary:

Assists with maintaining daily operations of the physical facility and supports Facilities and EHS staff performing administrative and department coordination duties.

Functional Description: Support Individual Contributor

Provides administrative and clerical support to relieve department managers or staff of administrative details. May coordinate messages, appointments, information to callers and file maintenance. Researches, compiles and proofs word processing assignments. Operates automated office equipment. May be assigned to various functional areas of the company.

Essential Duties and Responsibilities:


  • Provides administrative support to department manager and supervisors.

  • Coordinates with vendors and outside contractors on building and equipment repair and maintenance requests.

  • Maintains documentation such as diagrams, SDS, training, etc.

  • Creates and maintains electronic and paper files of all preventative and corrective maintenance performed.

  • Provides support to vendors/contractors such as security force and janitorial staff.

  • Operates and maintains access control system.

  • Assists in hosting corporate visitors/dignitaries and assist with setup of meetings.

  • Researches, compiles and proofs word processing and spreadsheet assignments.

  • Maintain and represent a high degree of professionalism during interaction with customers, vendors, and company personnel.

  • Creates reports and power point presentations as requested.

  • Strictly adheres to maintenance of confidential information.

  • This position assumes and performs other duties as may be assigned.

  • Ability to occasionally work extended hours (evenings/weekends) if requested.


Required Qualifications:

  • Typically requires a minimum of 2-4 years of related experience and a High School diploma/certificate or equivalent.

  • Demonstrates high level of expertise with MS Office applications, especially Outlook, Word, Excel, & PowerPoint.


Functional/Business Knowledge:

  • Moderate understanding of general job aspects and some understanding of the detailed aspects of the job.

  • Applies acquired job and company knowledge of policies and procedures to complete semi-routine tasks.


Scope:

  • Work at this level requires following standardized methods and under immediate supervision on assignments that are semi-routine in nature.

  • Follows pre-established guidelines and procedures with minimal choice as to method of performance of the work.

  • Has contact with employees at other levels within the company. Information exchanged is generally noncomplex.


Judgement:

  • Normally follows established procedures on routine work, requires instructions only on new assignments.

  • Works under close supervision.

Language Skills: Must be able to communicate effectively in English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
