The Center for Recessive Genetic Diseases, Division of Genetics at Brigham and Women's Hospital, seeks a Project Coordinator (PC) for its large international genomics projects. The position will work closely with the PI, Program Manager and other team members and leadership to implement the administrative aspects of the aforementioned project as well as other international genomics projects, including programmatic support for the scientists and clinicians working on these genomic projects, communications with the Ministries of Health in the sponsoring countries, and operation of international training programs. Under the direction of the Program Manager, the PC will assist in the execution of clinical research and educational programs and assist with specific duties including resource management, outreach and engagement, and data management. This position will also support our two Chiefs in the Division of Medicine, under the supervision of the Program Manager. The ideal candidate will have experience working with confidential information and supporting executive leadership, having both strong customer service and support background.

The successful candidate will have experience in project management, administration within a research and clinical division both internally and externally, operations/facilities management, superb organizational and team building skills, and a commitment to working with a group of highly motivated scientists and administrative professionals. Given the breadth and complexity of the projects, we welcome individuals who are creative self-starters, and capable of both developing and executing project plans. Candidates must demonstrate an ability to proactively identify and improve projects and processes.

Under direction of the Program Manager:

International Genomics Projects: 80%

* Will assists with timelines, deliverables and budget as needed.

* Manage processes to ensure high level of operation and successful implementation of the projects comparing to goals.

* Manage web and social media platforms while tracking the analytics to determine areas of growth.

* Help translate broad visions into project plans and implementation.

* Work with the Program Manager to ensure communication and smooth information flow between involved parties, including but not limited to research team, training team, leadership team, international collaborators, and other staff and sponsoring entities.

* Provide regular, comprehensive, and concise updates to project leadership.

* Manage and track outreach efforts.

* Manage (update, maintain, and track) all project related documents, including project reports, CVs, NIH Biographical Sketches, legal and administration documents.

* Assist the Program Manager to track spending and key milestones and process payments as appropriate.

* Manage meeting/conference planning, preparation, and assist with follow-up including negotiating contracts, coordination of material, logistics (conference rooms, catering, A/V).

* Coordinate meetings and conference calls with internal and external collaborators, including scheduling, preparing meeting materials, and taking meeting minutes, and supporting follow-up.

* Other duties, as assigned by the Program Manager and PI. Chiefs, Division of Genetics, Administrative Support: 20%

* Management of Chiefs calendars,

* Scheduling of meetings such as: Monthly Faculty Research Presentations, Faculty Searches Committees, and ad-hoc meetings as requested.

* Management of annual Faculty Reviews.


Qualifications

QUALIFICATIONS:

* Minimum BS/BA (preferably in medical science or management) required (Master's degree preferred).

* 2-3 years of relevant experience working in areas of healthcare/hospital management, public health, project management, preferably in a genetics clinical/research setting.

* Project Management Institute certified (preferred but not required).

* Experience with clinical methodology, HIPAA requirements and human research regulations (preferred).

* Experience with Institutional Review Boards (preferred).

* Arabic language (a plus but not required).

SKILLS/ABILITIES/COMPETENCIES REQUIRED:

* Ability to make decisions independently, and lead efforts.

* Ability to manage complex relationships with a variety of stakeholders, both internal and external.

* Ability to identify potential problems and troubleshoot solutions.

* Proficiency with office software: Microsoft Office, Google Business Apps, Internet platforms (Twitter), Dropbox, as well as ability to learn new computer applications.

* Follows HIPAA guidelines for the management of patient privacy and confidentiality, as this individual will have exposure to the genetics and/or clinical information.

* Possesses excellent time management skills including ability to develop timelines and meet competing deadlines on time with high caliber deliverables.

* Familiarity with high level negotiating initiatives.

* Capable of prioritizing requests from project's leadership and able to change direction in response to fluctuating work environment.

* Skilled in identifying opportunities to improve efficiency of research processes and procedures and subsequently execute improvements

* Must possess a professional demeanor and a strong commitment to confidentiality. Requires discretion and good judgement to organize priorities and complete tasks.

* Excellent verbal and written skills. Must be able to interact effectively with all levels of staff, including Institutional Leadership and Dignitaries of Foreign Internationals.

WORKING CONDITIONS:

* Busy schedule with time sensitive work.

* Daytime, 40 standard hours but may be times to adjust 'standard' daytime hours, for example accommodate International time zones for meetings.

* Flexible to work outside 'standard' daytime hours, may include weekends.
