JOB FUNCTIONS, ESSENTIAL DUTIES AND RESPONSIBILITIES


  • Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

  • Support the client through the transition from sale through onboarding/conversion including finalizing plan design, answering questions and educating plan contacts on the administration process.

  • Accurate and timely gathering of conversion client data.

  • Primary contact for all conversion related activity for new plans

  • Maintain detailed project plan, timeline, issues and action items list throughout the implementation process.

  • Manage onboarding/conversion timelines and keep all parties on target to meet due dates.

  • Organize and conduct conversion project status meetings including communicating status to internal staff and clients

  • Participate in Welcome Calls ensuring client is aware of necessary decisions and timeline for implementing plan.

  • Review of system set ups and databases prior to conversion completion

  • Follow-up on information needed to complete the work in a timely fashion and minimize rushes.

  • Assign appropriate tasks in Workflow and manage due dates with clients and specialists.

  • Review plan documents and work with outside providers, advisors, CPAs and TPAs on amendments needed to ensure plans are in compliance.

  • Partner with clients, advisors and TPAs on completing documents to set up and open the Trust account.

  • Return all client phone calls and respond to all client emails received each day per our current policy.

  • Maintain a solid, trusting relationship for our clients, advisors, CPAs and attorneys who are involved with assigned plans.

  • Identify and define problems that client is facing and provide appropriate solutions.

  • Provide input into process improvements and discretionary projects and execute changes as assigned.

  • Provide timely answers and solutions to problems that Specialists encounter.

  • Delegate administrative functions of the daily routine and manage the work delegated to others

  • Confirm fees and coordinate with Accounting to ensure financial data is accurately entered into billing system.

  • Keep up to date on all aspects of retirement plan administration by reading circulated emails and papers on technical/investment issues and attend internal training.

  • Provide back up to other teams, as necessary.

  • Other work, as assigned.

EXPERIENCE, SKILLS, KNOWLEDGE REQUIREMENTS


  • Minimum five years of experience in the retirement plan industry with knowledge of Defined Contribution and Defined Benefit Plans, including Cash Balance.

  • Minimum five years of direct client support and customer service experience.

  • Excellent understanding of plan administration, compliance testing and pension law.

  • At least three years of hands on experience with onboarding and conversions of Defined Contribution and Defined Benefit Plans, including Cash Balance.

  • Good business sense to understand clients' business needs

  • Team player

  • Self-motivated

  • Comfortable working with numbers

  • Excellent verbal and written communication skills, including on the phone and presentation skills

  • Excellent delegation skills

  • Excellent computer skills in Excel, Word and Outlook

  • B.A./B.S. preferred

  • Working towards ASPPA's CPC designation preferred.
