 Position Description


Report to the Director of Operations while supporting multiple day to day activities consisting of accounts payable, financial reporting, record keeping, marketing and sales, HR items, and other duties as assigned within the company.  The Office Administrator position is an important role in the InLine organization and management infrastructure to help meet external and internal customer needs.


 


Duties and Responsibilities



  • Coordinates efforts with Director of Operations:

    • HR compliance items, benefits information, and communications.

    • Contract follow-up and management of commercial documents as needed.

    • Accounts Payable and Financial reporting functions as needed.

    • Business permits, licenses, multi-state compliance, sales & use tax, & insurance requirements.

    • Various monthly reporting to parent company.


  • Coordinates efforts with Sales and Recruiting Director:

  • Help manage proposals, CRM activity, marketing tasks, and trade show coordination.

  • Performs functions involving recruiting and hiring.

  • Manage new hire pre-employment screening activities and paperwork.

  • Manage activities for new employee orientation.

  • Coordinate efforts with InLine Leadership Team as needed:

  • Team meeting organization and coordination.

  • Project document control.

  • Administrative roles including but not limited to processing timesheets, auditing receipts, mail & package handling, filing, welcoming occasional visitors, and very light switchboard.

  • Order, maintain, and organize office supplies.

  • Interface with Leasing Company and vendors for office needs and maintenance.

  • Coordinate hospitality needs.

  • Assist with website and social media efforts.

  • Exercise confidentiality, discretion and independent judgement with respect to matters of significance.

Requirements and Qualifications



  • The successful candidate will have at least 5 years of experience in a similar role.

  • Accounting/bookkeeping experience.

  • High Proficiency of Microsoft Office programs (Word, Excel, PPT).

  • Payroll processing experience a plus.

  • High attention to detail is necessary.

  • Excellent written and oral communication skills needed.

  • Outgoing and engaging demeanor.

  • Professionalism.
