We are currently seeking an Executive Assistant to work from our corporate headquarters in Lisle, IL .
National Express LLC has an opening for a dynamic, detail-oriented, and technically skilled Executive Assistant to support our Chief Executive Officer, Student Transportation . Using your strong knowledge of administrative practices, organizational procedures and information technology along with your ability to build/maintain positive working relationships, you will provide senior level administrative and organizational support.
Responsibilities:
Maintain exceptionally complex and demanding calendar of meetings and appointments; manage recurring meetings and handle meeting logistics. Make independent decisions within established guidelines to provide support with planning, organizing, and scheduling various events
Arrange complex and detailed domestic and international travel arrangements, itineraries, and agendas in multiple time zones; compile documents for travel-related meetings; react quickly and efficiently to last-minute changes to travel schedule
Prepare meeting agendas and briefings, maintain meeting notes and arrange for implementation of action items
Develop complex spreadsheets and PowerPoint presentations for meetings, conferences and special projects
Develop familiarity and trust with employees, customers, and parent company executives
Research and prioritize all requests, factoring in time sensitivity and confidentiality; make adjustments to as needed
Alleviate CEO of routine administrative details, including review of incoming correspondence, compilation of data report, presentation preparation, expense report completion, and workflow scheduling and monitoring
Manage and process all expense reports and ensure reports are done in a timely manner
Assist the Executive Office with special projects, inquiries and research
Act as liaison with organization
Other duties as assigned to meet business needs
Qualifications
Bachelor's degree strongly preferred
7-10 years of relevant experience at this level, with increasing responsibility, complexity, and initiative
High proficiency in MS Office products (Outlook, Word, Excel, PowerPoint) and ability to use complex features
Excellent verbal, written, and interpersonal skills; ability to communicate and interact positively and professionally with all levels of individuals, both internal and external
Strong work ethic with the ability to communicate and provide support after-hours or on weekends due to global nature of our business
Superior customer service; strong attention to detail with focus on quality and accuracy
Strong prioritization, organizational, and follow-up skills; able to manage changing priorities and deliverables, coordinate work flow, and manage multiple tasks, projects, and deadlines
Excellent problem solving skills; ability to proactively consider requests/needs and respond promptly and thoughtfully
Self-directed and flexible; able to handle high-stress situations with calm competence; comfortable working in a fast-paced environment and able to exhibit sound judgment and decisiveness
Ability to maintain confidentiality and work with sensitive information imperative
Must have ability to do some travel domestically and possibly internationally
