The Business Operations Lead will
manage the contracts/budgeting process for external vendors and internal stakeholders while working with the Program Director to develop and review the Learning and Development curriculum, internal and external program advertising. The Business Operations Lead will be responsible for the legal/contracts process, interfacing directly with Legal, Compliance, Finance, Procurement, and Accounts Payable, and a typical day will include:
OBJECTIVES:
Support the Takeda Fellowship programs with the management and reporting of activities critical to efficient business operations such as contracts and other consulting engagements, advertising/recruitment, creation of printed and electronic materials related to the programs, including tools for program and Fellow reviews and occasional meeting logistics and implementation.
Support non-pipeline priorities for functions within the Takeda Fellowship office including cross-functional business initiatives that require project planning, financial acumen, communication and implementation in a global matrix environment.
ACCOUNTABILITIES:
o Manages the contracts process for Takeda Fellowship programs by centralizing requests and shepherding external vendors through the legal/contracts process, interfacing directly with Legal, Compliance, Finance, Procurement, and Accounts Payable
o Submits contract requests and tracks requests through internal approvals and issuance of purchase orders o Work with HR to create and track the on-boarding process and SOP profile consistent with their role.
o Serves as primary contracting liaison external vendors and independently resolves complex contractual issues with internal colleagues and vendors o Registers suppliers and manages purchase orders/invoice tracking o Assists with coordination of outsourcing activities o Proactively implements or assists with business practices to report and visualize contract and budget data using Takeda systems o o Tracks executed contracts on the Fellowship SharePoint site
o Oversees and coordinates occasional internal and externally-facing meetings o Coordinates learning and development content development with stakeholders and manages appropriate review processes o Works with Legal, Compliance, etc. to ensure appropriate agreements and their documentation are drafted, negotiated, executed and archived.
o Tracks and archives Fellows’ TAU supervisor, rotations and rotation mentors
o Organizes Steering Committee meetings and creates/archives minutes/actions
o Understand, communicate and navigate/network across Pharma and academia and professional medical societies to facilitate and maintain dialogue to ensure that an effective Fellowship recruitment plan is created and implemented
Provides general business and project management support for non-pipeline priorities and business operations that may include: o Supporting Fellowship budget and resource management/tracking o Assist with planning, scheduling, and executing Fellowship gatherings (learning and development and social-networking events)
EDUCATION, BEHAVIORAL COMPETENCIES AND SKILLS:
• Bachelor’s degree in science or business-related field desired (MBA desirable) • 5+ years experience in the biotechnology or pharmaceutical industry desired • Demonstrated experience managing projects and contracts in a global matrix/team environment • Demonstrated proficiency with Microsoft Office, including PowerPoint, Excel & Word • Proficiency in SharePoint
• Understanding of Healthcare Compliance, including U.S. Federal Sunshine Act, and general contracting processes and systems
Understand, communicate and navigate/network across Pharma and academia and professional medical societies to facilitate and maintain dialogue to ensure that an effective Fellowship recruitment plan is created and implemented
• Proven track record of independently accomplishing tasks from initiation through close out, including proactive follow-up with stakeholders to ensure completion and appropriate archiving of activities.
• Must be able to apply critical thinking skills to identify business problems/ risks/ issues, and facilitate issue resolution and risk mitigation • Ability to understand needs and actions in some situations where clarity does not exist
