The Office of Faculty Affairs (OFA) facilitates faculty career success and growth through professional development activities, mentorship and leadership training for faculty in the School of Medicine, School of Public Health, and Skaggs School of Pharmacy and Pharmaceutical Sciences. OFA analyzes faculty data to develop evidence-based effective programming and initiatives to enhance success, recruitment, and retention of an engaged, diverse, and inclusive faculty.

The Faculty Affairs Administrative Coordinator is a multi-faceted position providing administrative, operational, and executive support for the Office of Faculty Affairs (OFA). The position will also manage faculty development and engagement programs, committees and diversity initiatives sponsored by OFA from the planning stage through implementation, enhancement, and reporting. The incumbent is responsible for performing high level administrative duties to support the Assistant Vice Chancellor for Faculty Affairs, and the Associate Dean for Faculty Affairs, such as managing their complex and dynamic schedules, organizing and disseminating necessary materials and completing research analysis and reporting as needed with efficiency and accuracy. These responsibilities require tact, diplomacy, discretion, and confidentiality on a wide variety of complicated and highly sensitive issues.

Ensures the daily administrative operations in an energetic and intricate environment are addressed in a timely and meticulous manner with a high level of professionalism. Works in a collaborative manner with OFA leadership, team members and a diverse organization community to administer, organize and conduct existing faculty development and engagement programs and may assist in the development of new programs. Under the direction of the OFA Manager, plans, implements, manages and monitors the unit s social media channels. Analyzes the success of social media / marketing campaigns.

MINIMUM QUALIFICATIONS

*

Bachelor's Degree in related area; and/or equivalent experience/training.
*

A minimum of two (2+) or more years of relevant experience.
*

Proven ability to independently coordinate, organize, plan and execute meetings and conferences. Skill in coordinating a variety of sessions for various groups assigned to different venues, arranging for use of meeting facilities, classrooms, conference rooms, A/V equipment, etc.
*

Excellent communication and interpersonal skills to communicate effectively, both verbally and in writing. Demonstrated ability to compose correspondence and reports for high-level officials/administrators.
*

Experience in collecting information about programs; excellent research skills and ability to collect data regarding educational programs. Able to form reports evaluating educational programming.
*

Strong ability to analyze, research and synthesize large amounts of data with strong attention to detail.
*

Thorough knowledge of academic personnel policies and procedures. Knowledge and experience with UC (APM) and UCSD (PPM) policies and procedures on Academic Affairs.
*
