Job Description:
Description: Leads the planning, development, and integration of volunteer programs in accordance with the mission and goals across the KP MAS region. Coordinates staff and volunteers, ensures they are in compliance with federal, state, local, and union regulations.

Essential Responsibilities:
  • Oversees the volunteer services programs across multiple facilities within the region.
  • Coordinates staff volunteering within assigned area. Ensures volunteers provide a consistent member experience within the programs. Develops and trains volunteers to ensure regulatory requirements are met and maintained. Develops strategies, goals, and objectives for volunteer programs within area.
  • Identifies new opportunities for volunteer assistance and recommends expanded volunteer services roles. Creates and manages new volunteer programs. May develop opportunities for additional revenue.
  • Serves as a liaison to community groups working to develop and expand volunteer programs (e.g., 4Paws). Establishes and manages partnerships with local high schools and colleges.
  • Recruits volunteers- Ensures skills of volunteers match with the needs of medical office buildings.
  • Oversees collection, storage and retrieval of volunteer data which may include current TB tests, vaccinations, competency completions, evaluations and criminal background checks.
  • Assists with volunteer program budget planning and fiscally manages allocation of resources within the allotted budget.
  • Identifies and facilitates outcome-based quality improvement initiatives to improve volunteer program operations and services.
  • Serves as a POC for those contacting the department and directs inquiries to the appropriate resources.
  • Manages all administrative support for the department. Corresponds with accounts payable, tracks expenses and budget, maintains procedures to ensure accurate and timely submission of invoices and other financial documentation.Schedules and maintains calendar, coordinates teleconferences, prepares meeting packets and provides minute taking support to the Member Experience leadership team. Makes travel arrangements. Manages P-Card for direct supervisors. Exercises considerable discretion and independent judgment in handling the highest level of confidential information. Works with the two Directors to ensure that team members have the appropriate resources in order to function optimally. Acts as department resource to assist team in accessing KP systems. Database management: Works with two Directors to develop appropriate databases, manages data entry and report generation.
  • Provides project management support to the Member Experience leadership team to ensure seamless execution and customer satisfaction. Maintains project plans and timelines, as appropriate.
  • Maintains departmental org chart, participate in basic PowerPoint document preparation and produces routine reports.
  • Other tasks as assigned in support of Member Experience business unit.

    - There is flexibility with the home base of this position within the Mid Atlantic States (DC,Va,Md)

    Basic Qualifications:
  • Minimum one (1) year supervision experience required.
  • Minimum three (3) years of administrative support and coordination experience are required.
  • Associate's degree OR two (2) years of directly related experience required.
  • High School Diploma or General Education Development (GED) required.

  • Demonstrated ability to manage a diverse group.
  • Knowledge of federal, state, and local requirements.
  • Must be able to work in a Labor/Management Partnership environment.

    Preferred Qualifications:
  • Minimum one (1) year of volunteer administration preferred.
  • Previous experience in events management and public speaking preferred.
  • Management of multiple sites preferred.
  • Bachelor's degree in business administration or related field OR four (4) years of experience in a directly related field preferred.
