Job Description:

This classification Level is responsible for supports administrative or program operations, functions, or activities and performs varied administrative, technical, and/or program support work. Responsibilities may include preparing program related documents, locating and providing the necessary Court documents along with relevant criminal client information for the corresponding probation officer. Enters and updates information in database(s), responds to information requests, uploads documents and forwards appropriate documents to corresponding districts/judges.


JOB DUTIES
1. Assists internal and external stakeholders in person, by phone, and in writing; responds with instruction based on the established policies and protocols of the Rehabilitative Services Unit and Registered Service Provider Network.


2. Processes prospective service provider and agency applications to determine if required criteria is present to approve provision of services to justice-involved adults and juveniles. This includes but is not limited to determining if the requested service provision is appropriate for the applicants' scope of practice, verifying credentials for individual and/or facility licensure within the DHHS licensure database, verifying facility location and service settings, and ensuring program plans have been approved prior to notification of approval.


3. As a Help Desk, monitors a shared email inbox and phone line to perform trouble shooting tasks such as password resets, confirming account and application status, and providing technical assistance with navigating the web-based application for registration within the service provider information management system.


4. Tracks individual continuing education and certification requirements by monitoring and communicating deadlines, receives and reviews documentation of trainings completed, and enters the approval on the individual's profile within the web-based application.


5. Prepares documents to be sent via certified mail and maintains electronic files to track correspondence with service providers.


6. Receives and reviews payment-related information for accuracy on W9/ACH forms and coordinates with State Accounting to establish new accounts for direct deposit. Enters interagency batch information into E-1.


7. Maintains the Registered Service Provider List Serv and District Directories; updates monthly to add and/or remove individuals as needed.


8. Assists with training and contributes to the development of visual aids, user manuals, and internal guidelines.


9. Performs other duties of a similar nature or level. The above classification responsibilities represent only the key areas of responsibilities; specific position assignments will vary depending on the business needs of the department.



Requirements / Qualifications:




Minimum Qualifications: High school diploma or equivalent and 2 years of administrative experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.


All educational credits must be granted from an accredited institution approved by the U.S. Dept. of Education.

PHYSICAL REQUIREMENTS




Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
