The University of Oklahoma Health Sciences Campus, located in Oklahoma City, Oklahoma, is one of only four comprehensive academic health centers in the nation with seven colleges: Allied Health, Pharmacy, Dentistry, Medicine, Public Health, Nursing and Graduate. Enrollment of 3400+ Health Sciences program students are located on two campuses (Oklahoma City and Tulsa) as well as six remote locations (Ardmore, Bartlesville, Duncan, Norman, Lawton, and Weatherford). For Spring 2024, the Health Sciences enrollment is comprised of professional (58%), undergraduate (33%), graduate (8%), and non-degree/intercampus (1%) students. As a newly created department within the Health Sciences Senior Vice President and Provost Office, the OU Health Sciences Recruitment & Admissions team will provide support services for prospective and current students, alumni, and University partners. This position is responsible for processing applicant and student transcript data from both internal and external sources. The primary tasks will include verifying and linking records from the Centralized Application System, and hard copy transcripts/records downloaded to the Student Information System, PeopleSoft. Additionally, the employee will utilize scanning software to verify and link applicant and student records. The responsibilities include using the Student Information System to audit application summary reports for data discrepancies prior to matriculation and enrollment of new students. In addition, the position will provide assistance to Health Sciences Recruitment and Admissions staff as needed.


Duties: 



  • Contributes to the success of the Health Sciences Recruitment and Admissions team and the overall mission of the University of Oklahoma (OU).

  • Downloads transcripts from Central Application Systems, electronic form (PDF), and/or hard copy and maintains a log of all incoming records.

  • Scans transcripts with character recognizing software that produces a text file to be loaded into a central database.

  • Verifies the text file matches the transcript record.

  • Loads and matches records to the applicant's external education records; records include transcripts, WES & ECE evaluations, and other test documentation that may be required by the college of application.

  • Validates data of application documents and transcript data for admissions based on student's career track

  • Maintains all other admissions and transcript data.

  • Assists with residency, waiver requests, and admissions correspondence needs of applicants and students.

  • Assists with service indicators or other flags to the student records and linking documents to the student system.

  • Updates and submits data within specific timeline.

  • Follows required protocol procedures and discusses with supervisor. 

  • Notifies supervisor of all protocol deviations. 

  • Under direct supervision, discusses with management before making decisions.

  • Responsible for managing research data

  • May assist with collection of data for internal chart review projects to include collecting data from other sites.

  • Assists with recruitment in-person events and fairs as well as virtual information sessions.

  • Collaborates with colleagues to develop strategic communications regarding admissions such as application cycle dates, upcoming deadlines, etc.

  • Performs various duties as needed to successfully support the student experience.

Required Education:  High School Diploma or GED AND:



  • 6 months data collection and entry experience


Skills:



  • Proficiency with Microsoft Office Suite (Word, and Outlook)

  • Ability to communicate verbally and in writing

  • Ability to work independently and as a team member.
