Job Summary


The position of Coordinator in the School of Nursing (SON) requires the ability to organize and carry out multiple tasks for a variety of specialty areas within the field of education. This position reports to the Director of the School of Nursing.



Responsibilities


Significant duties and responsibilities include:



Provide general support for the Director of the School of Nursing as assigned: Schedule meetings and appointments for the Director of the School of Nursing.; Schedule full-time and part-time faculty evaluations.; Manage Excel SON budget spreadsheets.; Track and maintain budget expenditures for the SON department, grants and foundation accounts.; Prepare part-time teaching faculty agreement forms per semester.; Prepare part-time faculty payroll forms and full-time work overloads per semester.; Assist the Director in collecting data required by the Georgia Board of Nursing for all full-time and part-time faculty annually.; Assist the Director and coordinate the planning and executing of various conferences, workshops, meetings and other departmental events. For example, the SON White Coat Ceremony, Pinning Ceremony, accreditation agency visits for all nursing programs.; Assists with faculty searches in preparing and maintaining applicant data for the SON department.; Create, maintain and update all departmental files, faculty records and ledger of departmental inventory.; Coordinate the collection, distribution and forward movement of new hires including use of Manager Self-Service and DocuSign.; Coordinate and act as a liaison with the Shared Administrative Services for requests for budget, general admin, general procurement, invoicing, technology procurement and travel.; Process various departmental documents such as preparing and reviewing reports and documents, coordinate new faculty onboarding needs, i.e. offices, computers, keys, mailboxes, distribution lists, etc. including Part-Time faculty agreements and contracts.; Prepare and review reports and other documents as directed by the Director.; Maintain appointment schedules and calendar for Director, and handle room reservations for departmental events.; Coordinate special projects and perform other general administrative duties as assigned by the Director.; Prepare hiring packets for new full and part-time faculty, staff, graduate assistant and student assistant.; Prepare and process initial and renewal agreements and contracts for the SON.; Submit course information for the BSN and RN-BSN programs to Section Data Entry in shared services.; Coordinate maintenance and repair of office equipment.



Provide general support for the School of Nursing: Manage communication across programs in the department.; Answer and direct phone calls within the department.; Collect and maintain repository of syllabi for the department.; Collect and upload syllabi to Syllabus Archives for all SON programs.; Maintain minutes of faculty meetings (Undergraduate Program, SON Faculty and Staff, SON Leadership and Nursing Advisory Board meetings.; Assist faculty in obtaining desk copies of textbooks.; Provide accreditation support as needed.; Work with the various campus offices to help ensure policies and guidelines are met.; Distribute the mail for the SON.; Coordinate, maintain and update content on department websites (including: coordinating with UITS and University Relations on updates and projects), brochures, newsletters and social media platforms.



Provide support for the prelicensure BSN program: Collect and send data required by the Georgia Board of Nursing for BSN graduates annually.; Maintain full-time and part-time BSN faculty nursing vaccine and clinical requirement documents.; Maintain incoming junior student orientation packets.; Assign wall lockers to BSN nursing students.; Enter student data information to ExamSoft.; Maintain the Textbook Adoption program (BSN booklist) for the BSN undergraduate program.; Maintain student documents (syllabus agreements and student handbook agreements).



Provide support for the RN-BSN program: Create & maintain virtual files for online nursing students in the RN-BSN portals.; Verify and document RN-BSN applicants' and current students' license information, state of residence and practice clinicals each semester.; Process and submit state authorization document information for RN-BSN nursing students doing clinicals outside the State of Georgia to the CSU State Authorization Officer per term. Maintain documentation of each state authorization notification.; Document preceptorship clinical forms information to the RN-BSN Clinical Course Google spreadsheet.



Required Qualifications


Minimum qualifications include a high school diploma and minimum of five years or more applicable experience required.



Preferred Qualifications


Associate degree or higher is preferred. Previous coordinator or comparable experience preferred. Previous administrative role, preferably in a medical setting, is desired.



Proposed Salary


The annualized salary range for this position is $40,568 - $42,784 and includes full benefits.

  • Excellent oral, written, and electronic communication skills.; Ability to independently follow-up on activities to ensure timely completion.; Ability to organize and manage multiple projects and activities.; Ability to maintain confidentiality of sensitive department information.; Knowledge and proficient skill of computers, internet and software programs commonly used by the university and SON including, Microsoft Office Products (Word, Excel and PowerPoint), CSU Webpage content, Banner Admin Pages, Banner SIS, CougarView, Banner Workflow, Hyland OnBase, eQuest and Google Apps.
