Description: Job Summary

Reporting to the Assistant Director of Sponsored Research, and in close collaboration with grant recipients, the Grants Manager is responsible for providing comprehensive pre- and post-award support for Harvard Law School's (HLS) full portfolio of sponsored awards.

Position Description

As a Grants Manager, your responsibilities will include:

Pre-award responsibilities:

  • Provide support to Principal Investigators (PIs) and their staff for proposal preparation, including budget development and assembly of supporting documentation and required institutional information.
  • Shepherd supported proposals through the school and University proposal review and submission process.


Post-award responsibilities:

  • Provide continuous monitoring of revenue and expenditures on federal and non-federal research grants, and maintain working knowledge of basic fund information (e.g., terms and award dates) for the entire portfolio of sponsored awards at HLS.
  • Create and distribute monthly financial summary/projection reports, and provide guidance to PIs regarding rates of spending, personnel allocations, etc.
  • Continuously ensure expenditures are in line with University policy and sponsor terms and conditions, and prepare adjustments to the general ledger, as necessary.
  • Advise and assist PIs with the reporting requirements of the various sponsors, including interim and final financial reports.
  • Strategize with PIs on resource and personnel allocations. Monitor balances, perform spending projections, and process journal entries and salary allocation updates as needed.
  • Work closely with the PIs and Office for Sponsored Programs to review new awards, set up budgets in GMAS, and to reconcile and closeout awards that are ending.
  • Provide guidance and training to staff on finance and sponsored research matters including systems, policies, and procedures, as needed.
  • Support the Assistant Director of Sponsored Research to provide guidance to the faculty and other research program staff to ensure compliance with HLS, University, and sponsor policies.


Basic Qualifications

A minimum of three years' experience in pre- and post-award grants management required; a combination of education and experience may be considered.

Additional Qualifications and Skills

We are looking for people who are/have:

  • Bachelor's degree a plus.
  • Excellent interpersonal, verbal and written communication skills as well as analytical and problem-solving skills.
  • The ability to take initiative, as well as the ability to multi-task and move easily among varied work projects.
  • Highly organized and detail-oriented.
  • The ability to handle complex and confidential information with discretion.
  • The ability to work as part of a team, as well as to work independently.
  • Experience with Harvard systems and procedures a plus.
  • Strong knowledge of MS Office Suite, especially Excel.
