We are looking for an RFP Manger to lead a team of RFP coordinators, as well as own and manage our end-to-end response process, and work closely with our sales organization to be the point person that ensures our responses are complete, compelling, and winning.
Responsibilities:
Own, manage, and continuously improve RethinkEd’s response process.
Manage team of Proposal Coordinators.
Research and learn the "Request for Proposal" process for school districts. Be able to understand and coach the team on best practices.
Find, Intake, and complete bids in a timely manner.
Work closely with fellow RFP team members to ensure a quality completion of all RFP responses. Including:
Coordinating requirements with contributors and contributes proposal status information to review meetings.
Maintains quality results by using templates; following proposal-writing standards including readability, consistency, and tone; maintaining proposal support databases.
Prepares presentation by evaluating text, graphics, and binding and coordinating printing.
Works collaboratively with marketing team for any design or presentation needs.
Respond to internal and external queries on drafted and submitted proposals from the Education team.
Obtains approvals by reviewing proposal with key providers supervisor.
Improves proposal-writing results by evaluating and proposing re-design of processes, approach, coordination, and boilerplate in collaboration with supervisor.
Analyze the bid, make decisions & propose solutions to improve the process or outcome.
Work with other departments such as Sales, Engineering, Research & Development, Product, Implementation, and Marketing to respond to RFP's, requests for information, IT forms, vendor forms, or documents.
Contributes to and may maintain/administrate the RFP library, which includes questions and answers for future proposals.
Go find answers when they are not right in front of you.
Collaborate with the Product team to refresh content as our software platform continuously evolves.
Own and manage relationships with RFP vendors.
Leads team to ensure RFP records are up to date in Salesforce.
Gathers proposal information by identifying sources of information, coordinating submissions and collections, and identifying and communicating identified risks.
Writing and submitting complete and high-quality proposals that result in revenue (new business and renewal) for Rethink Ed.
Develops proposal by assembling information including project nature, objectives/outcomes/deliverables, implementation, methods, timetable, staffing, budget, standards of performance, and evaluation.
Writes, revises, and edits drafts including executive summaries, conclusions, and organization credentials.
Meet proposal deadlines by establishing priorities and target dates for information gathering, writing, review, approval, and transmittal.
Monitor license to hunt proposal deadlines and coordinate contract renewal needs in a timely manner.
Maintain positive relationships with funder RFP and purchasing contacts.
Maintain records and submit reports related to RFP opportunities.
Updates job knowledge by participating in educational opportunities; maintaining personal networks.
Experience:
3+ years of experience managing proposal teams.
Excellent written and verbal communication, customer relations, and organization skills.
Able to use independent judgment to plan, prioritize, and organize the workload of a team.
Able to work cohesively in a close team environment.
Strong knowledge of Microsoft Office.
Salesforce Experience.
Proficiency in MS Office suite (Word, Excel, PowerPoint), Adobe Acrobat, and prior experience working with proposal management tools or CRM systems (e.g. Loopio).
Prior experience putting together bids for public agencies.
Prior experience working for educational, ed-tech, or SaaS organizations highly preferred.
