Your Next Career Opportunity – Site Administrator I

Coordinate and process all work related to new leases and amendments. Run and analyze various reports related to W-9's, special fees, government ground lease payments as well as ground lease option and ground renewals. The requirements listed below are representative of the knowledge, skill and/or ability required for this position.

What You Will Do – Primary Responsibilities


  • Coordinate, organize and ensure all work related to processing leases and amendments is flowing properly.

  • Ensure all related processes are being adhered to, including scheduled pick-up and drop-off times.

  • Prepare all new tenant leases and amendments for execution. This entails indicating where a witness, notary and signature is needed, circulating them to the appropriate individuals in the department, dating each agreement in the applicable places and providing to Site Leasing for final execution.

  • Upon completion of preparation and execution of tenant leases and amendments, ensure they are returned to tenants with applicable letters.

  • Enter relative lease and tenant data for each step in the process into the Processing Section of the Property Management Database.

  • Process all W-9’s received from ground owners on a daily basis, including updating the associated fields in the Property Management Database.

  • Run and analyze the W-9 report monthly and ensure the associated series of letters and processes are being followed in accordance with the SBA 1099 Tax Withholding Policy.

  • Work on the CP2100 W-9 Notices spreadsheet in conjunction with accounting personnel, which includes researching and determining if SBA is compliant with that particular W-9 in an effort to reduce penalties that may be imposed on SBA for non-compliance.

  • Run and analyze option renewal reports monthly and disseminate to applicable departments for decisions to renew, which includes ensuring the associated payments and letters are sent to ground owners for all renewals.

  • Run and analyze the ground renewal report monthly to determine which ground leases require written notice of renewal and ensure a renewal letter is sent in the allotted time as set forth in the lease agreement.

  • Ensure special circumstance fees are analyzed and processed as needed. This includes doing necessary research on-line and/or making phone calls to determine the nature of the fee as well as ensuring a duplicate payment is not made.

  • Process government (BLM and USFS) ground lease payments annually, which includes running related reports to generate applicable worksheets that determine the ground lease payments going forward.

  • Research and disseminate lease information for customers, accounting and field personnel.

  • Provide customer service by resolving customer questions and/or problems, both individually, and with the assistance of other company personnel.

  • Other projects and duties as assigned.

What You’ll Need – Qualifications & Requirements

    • H.S. Diploma/GED Bachelor's degree preferred;
      • and <1 year administrative support experience, with experience working with lease agreements and/or contracts. Experience in the wireless telecommunications industry preferred.

    • Demonstrated knowledge and proficiency working with Great Plains preferred.
