The University of Pittsburgh's Division of Philanthropic & Alumni Engagement (PAE) cultivates relationships with contributors, alumni, and other constituents on behalf of the University of Pittsburgh and UPMC, generating support for teaching, research, and care. PAE is seeking a Development Coordinator to join a progressive team within our UPMC Hillman Cancer Center Development Department. Reporting to the office manager at UPMC Hillman Cancer Center (an NCI-designated Comprehensive Cancer Care Center), the Development Coordinator will support the overall needs of the UPMC Hillman office of development, providing direct support to the Executive Director of Development, frontline fundraising staff, office manager, and other staff relative to a comprehensive development program with a focus on major gifts. The incumbent must facilitate program information across several entities exhibiting professionalism and confidentiality at all times. This position serves as the first point of contact for both internal and external constituents.

Superior organizational expertise while coordinating multiple projects that require meticulous attention to detail is essential. Minimum typing speed of 55-60 wpm, with strong writing and proofreading skills, and experience with various computer software packages, particularly: Microsoft Office, Outlook and various internet and cloud applications is required. Experience with CRM software (such as Salesforce, Affinaquest, Raiser’s Edge, etc.) experience preferred.

Ability to collaborate with all department staff members is essential. The ideal candidate will be self-motivated, dependable, and work with autonomy to solve problems. Professionalism dealing with confidential information is vital.

As the first contact with visitors and telephone requests, the candidate must possess highly developed customer service, interpersonal, and communication skills including positive telephone etiquette which will have a measurable impact upon the mission of the office.


Job Summary

Performs administrative assistant support work of moderate complexity.


Essential Functions
  • Answers phone, takes messages, and transfers callers; provides general information and appropriately answers customer inquiries from walk-ins, incoming calls, and emails.
  • Performs administrative support activities and department specific technical or operations duties for assigned project with some support from others; serves as liaison between internal and external stakeholders.
  • Prepares and edits various technical documents, including financial reports, presentation materials, procedural manuals, and high-level correspondence; uses established guidelines and proper formatting; ensures confidentiality of sensitive information and materials.
  • Makes purchases, collects payments, and verifies billing information; interacts with vendors on quotes and invoicing.
  • Performs a variety of clerical duties, including updating content on department website, filing paperwork, coordinating travel arrangements, and data entry.
