Under direct supervision, provides support and collaboration on elements needed to complete projects; prepares and maintains various databases and reports, including critical and confidential information; schedules workflow and priorities to accomplish desired results or work assignments; supports projects relating to the business operations, quality management, and operational controls.

We are a dynamic hybrid workplace environment that requires at least 4 days a week in the office. 

In this role, you will:


  • Participates on project related initiatives related to business and operations, quality management, and operational controls while developing an understanding of department processes; maintains databases containing department information to produce reports for leadership and other stakeholders; responds to management requests and conducts research regarding historical data, budget and other relevant information.


  • Contributes to process improvement projects; assists in modifying and updating existing business processes; may participate in cross-department initiatives and projects.


  • Prepares, maintains, and manages financial, personnel, or administrative records; processes correspondence and reports related to department requests; communicates and distributes documents to internal and external stakeholders; loads documents into the correct repository following the appropriate naming convention.


  • Arranges and coordinates logistical details around meetings and conferences for the department; oversees planning functions inclusive of catering, facilities, and technology and communication.; may help train, facilitate or troubleshoot event functions.


  • Maintains files, uploads invoices, logs data, maintains copies, and tracks correspondence regarding department matters.


Skills and Experience:


  • High School Diploma or equivalent years of experience.


  • Completes/submits daily reports to the supervisor regarding trips made, maintenance performed, vehicle condition and availability.


  • Assist with special events/programs for the 6th district.


  • Will drive fleet automobiles or vans to transport VIP guests, members of the Board of Directors, executive level management, office personnel and other Bank visitors.


  • Outgoing personality, love of people and a strong communication skill.


Qualifications


  • 1-3 years administrative experience


  • Customer service experience


  • Valid Drivers License


  • Demonstrated decision making, analytical and problem-solving skills.


  • Demonstrated organization, prioritization and project coordination skills.


  • Effectively demonstrate oral, written, and interpersonal communication skills. Ability to interact with all levels of associates.


  • Ability to communicate clearly and calmly on the telephone, email and chat and use effective customer service techniques.


  • Some experience, or ability to learn to support Microsoft operating systems, networking connectivity, computer peripheral equipment, software applications, remote tools, and audio-visual equipment.


  • Experience working with Windows Environment
