(Contingent upon available funding):14.49 - 17.50, Hourly Work Schedule:M-F 7:30a to 4:30p Faculty Appt Period: Job Summary:GENERAL SUMMARY:  Provides general administration for the Officeof the Provost and Academic Affairs, including clerical support and secretarialservices, scheduling, communications, document production and organization,travel coordination, inventory, personnel record management, and purchasing. Thisposition provides student-centric focus on advising, retention, and graduation.



PRINCIPALDUTIES AND RESPONSIBILITIES:


  • Supports and coordinates an array of Academic Affairs initiatives and activities (e.g., selection of Graduate Student Respondents and Regents Distinguished Teaching Award recipients and other teaching excellence awards, and processing of academic appeals, exception requests, etc.).

  • Assists in the development and maintenance of memoranda of understanding, transfer agreements, and prior learning assessments.

  • Provides support for all academic advisors and advises students in the AAS in Applied Technology degree program.

  • Coordinates Prior Learning Assessment (PLA) activities.

  • Assists in the development and implementation of processes that ensure and document compliance with institutional and state policy and institutional accreditation requirements (e.g., maintenance of the federal complaint log, class schedule audits, collection and storage of evidence files, website maintenance, etc.).

  • Effectively utilizes data to assess student success, identify opportunities for growth, and measure the impact of student success initiatives.

  • Develops, proofreads, and revises correspondence, reports, and other materials for a broad array of internal and external audiences; reviews outgoing materials for accuracy and completeness.

  • Maintains and updates Academic Affairs related webpages.

  • Stays abreast of policies and guidelines impacting higher education and students.

  • Maintains personnel-related documentation (e.g., leave requests, leave reports, contracts, etc.) for the office.

  • Performs all other duties as assigned.

Minimum Qualifications:




  • Associate's degree in Business, Office Information Systems or a related discipline from an accredited college or university required; other combinations of relevant experience and education may be considered in lieu of degree.

  • Two years of administrative support work experience; other combinations of relevant training and experience may be considered.

  • Evidences a history of demonstrating ethical and professional behavior.

  • Highly proficient with common office technologies.

  • Ability to produce well-written, error-free correspondences and documentation.

  • Willingness to pursue, and ability to quickly acquire, skills and knowledge pertinent emergent needs.

  • Ability to recognize, analyze and constructively resolve issues.

  • Positive, professional demeanor and appearance.

  • Ability to establish and maintain effective working relationships with diverse internal and external stakeholders.

  • Valid Oklahoma driver's license will be required if the position functions necessitate the use of a personal or university vehicle in order to conduct university business.

  • Normal office physical environment; ability to lift up to 25 pounds.
