JOB SUMMARY:

Produce customer invoices from Training Center records. Handle class enrollments in the Registrar Software System. Provide secretarial and clerical support to Training Center personnel. Maintain Training Center's materials.

ESSENTIAL FUNCTIONS :


  • Prepares customer invoices from training registration records and training contracts. Inputs invoices using the mainframe computer.
  • Processes customer training class enrollment requests.
  • Maintains enrollments wait listed on Registrar, receives purchase orders, handles cancellations, and notifies customers of class registration and materials charges.
  • Makes hotel and cafeteria arrangements for customers who attend class. Confirms class reservations with customers over the telephone and fax machine.
  • Maintains employee training records on Registrar.
  • Receives and assists visitors and telephone callers. Refers them to appropriate person as circumstances warrant. Takes clear and concise messages when necessary.
  • Processes invoices for hotel, class dinners and miscellaneous training supplies. Reconciles accounts receivable statement to assure proper assignment of payment made directly to accounts receivable.
  • Works safely at all times. Adheres to all applicable safety policies. Complies with all company policies, procedures, and standards.

ADDITIONAL RESPONSIBILITIES:


  • Proof-reads quarterly training calendars using information received from Training Center staff. Circulates outside seminar calendar to approved distribution list. Gives customer training calendar information to Marketing Department.
  • Produces training materials as requested by Training Center staff. Learns to develop transparencies, make slides, design charts and handouts, and operate video tape recording equipment.
  • Types and files correspondence including memos, training class confirmations, invoices, training proposals, course outlines, tests, and lesson plans.
  • Coordinates outside seminar and school registration. Registers Training Center staff in manufacturers schools. Checks for correct authorization before processing check request. Notifies employee's supervisor that registration has been done.
  • Maintains instructional materials on hand inventory. Reorders or copies material when low. Maintains a charge out system to determine usage. Charges appropriate internal or customer training accounts according to material usage.
  • Makes all hotel and travel arrangements for Training Center staff.
  • Prepares monthly training reports for all customers and internal classes on Registrar. Types and distributes monthly internal training calendar.
  • Orders promotional items for customer classes.
  • Plan luncheon meetings or luncheons for classes when the cafeteria is closed.
  • Works within and promotes corporate values.

KNOWLEDGE SKILLS AND ABILITIES :


  • Must have professional interpersonal skills to assist customers and employees courteously and efficiently.
  • Must have math computation skills and be able to operate a calculator to produce accurate, timely customer invoices from Training Center records.
  • Must be able to track, control, and complete numerous administrative tasks within tight deadlines.
  • Must have grammar and composition skills to originate letters, forms, etc.
  • Ability to maintain consistent attendance.

EDUCATION AND EXPERIENCE:


  • Proof of high school diploma or General Education Degree (GED).
  • Must have experience using a personal computer and be familiar with database and word processing software.
  • Extensive experience Microsoft Word 6.0 and Registrar computer software programs.
  • Must be able to communicate (speak, read, comprehend, write) in English.
