Job Description:

Reporting to the Vice President of Enrollment Management and Chief Enrollment Officer, the position of University Registrar provides leadership and manages the Office of the Registrar responsible in serving the enrollment and academic needs of our OU students. We are currently looking for a new team member on our Norman Campus to serve as Registrar. The University Registrar plays a proactive and strategic role in assisting in policy development in close collaboration with the Oklahoma State Regents for Higher Education. This includes serving in an advisory role to the Council on Instruction, academic colleges, and other departments within the Division of Enrollment Management and campus-wide including our Health Sciences Center in OKC, to ensure that administrative policies and procedures work efficiently and effectively. The University Registrar provides strategic planning, direction, and management for a staff of approximately 22 individuals on the Norman Campus.

Responsibilities Include:



  • Provides leadership for all functions and services for the Office of the Registrar including the student information system, academic calendars, registration, grading, degree and enrollment verification, academic records management, transcripts, the general catalog, compliance, degree management and articulation, and awarding of degrees

  • Oversees the management of policies and processes providing leadership, innovation, and accountability for the management of all records, enrollment policies, and services that support student success

  • Provides oversight for the accuracy of student academic records and transcript production in compliance with the Oklahoma State Regents for Higher Education and the University's academic policies

  • Serves on several University committees as a voting member and as an ex-officio member

  • Serves as the university-designated official responsible for maintaining confidentiality of student records adhering to the Family Rights and Privacy Act (FERPA) and other applicable laws and regulations in coordination with Legal Counsel and Open Records

  • Supervises the NCAA certifying officer for athletic certification

  • Supervises the Office of Veteran Student Services overseeing designated school officials responsible for veteran certifications

  • Manages the implementation and effective use of student solutions including the University’s transcript platform, degree management and transcript evaluation systems

  • Provides approval and recommendations for Data Governance in the implementation of related technology applications campus-wide

  • Monitors and verifies student enrollment data essential for official internal and external reporting related to academic and student records, including the National Student Clearinghouse, NSLDS and Instructure

  • Oversees the maintenance of the degree audit system and provides oversight for monitoring students’ progress toward degree completion in collaboration with degree-granting colleges and Graduation, Persistence and Support

  • Promotes and maintains relationships with faculty, staff, and campus partners including counterparts state-wide and within the SEC collaborating on issues relating to Registrar policies and responsibilities

  • Oversees training, development, and maintenance of policies and procedures within the Registrar's Office

  • Supervise, train and develop staff within the Office of the Registrar


Required Education: Bachelor’s degree, AND: 



  • 48 months of related experience that includes leadership and/or management in student records, registration, and/or admissions in a higher education environment.


Equivalency/Substitution: Will accept 48 months related experience in lieu of the Bachelor’s degree for a total of 84 months related experience.


Skills:



  • Ability to perceive where discretion is necessary and maintain the strictest confidentiality

  • Supervisory experience and strong written/verbal communication skills

  • Highly organized and able to handle multiple projects and deadlines

  • Ability to accurately read and understand written materials and instructions


Required Working Conditions:



  • Ability to engage in repetitive motion

  • Standard Office environment

  • Ability to travel seasonally and work some weekends during peak periods.


Departmental Preferences:



  • Prior work experience at a university

  • OU or research institution experience as employee and/or student

  • Knowledge of Laserfiche, Banner and OU systems
