Description

MELE Associates, Inc. (MELE) maintains a contract with the National Nuclear Security Administration (NNSA) Office of Infrastructure (NA-90). NA-90 is responsible for modernizing infrastructure of the NNSA complex.

MELE requires an exceptional candidate to serve as an Administrative Specialist AND Executive Assistant in support of NA-90’s Office of the Chief of Staff and NA-90 senior leadership. The Administrative Specialist/Exectuvie Assistant will support NA-90 with a variety of organization administration functions. The candidate will collaborate with NA-90’s senior leaders and subject matter experts.

Essential Functions:

  • Participate in leadership and staff meetings to assist with scheduling, planning, integration, and communications
  • Manage daily logistics and scheduling
  • Arrange travel, create travel authorizations, and prepare travel vouchers
  • Perform routine administrative functions, such as make copies, print documents, prepare binders, scan, maintain records, and transmit documents
  • Take and distribute meeting minutes
  • Establish, coordinate, and maintain calendar for principles, working with other Administration element front offices to coordinate amongst principles
  • Support the development of presentations
  • Perform timekeeper responsibilities for federal payroll Automated Time and Attendance Production System.
  • Request equipment, materials, and services for personnel in office space.
  • Perform accountable property representative responsibilities for NA-90 personnel.
  • All other duties as assigned

Minimum Qualifications:

  • College Bachelor’s degree
  • Experience supporting federal government programs in administrative functions with knowledge of travel, time reporting, and property management functions and systems
  • Excellent written and oral communication
  • Excellent organizational skills
  • Customer service oriented
  • Outstanding team player able to work with a diverse group of people stationed in different geographic locations
  • Hard worker that shows initiative
  • Works well with short turnaround deadlines in fast paced office environment and is adaptable to changing priorities
  • Knowledge of all Microsoft Office tools and Adobe Acrobat
  • Ability to obtain and maintain a DOE Q security clearance

Preferred Qualifications:

  • Prior NNSA experience
  • Familiarity with NNSA Management and Operations (M&O) model

SALARY: Salaries are determined based on several factors including external market data, internal equity, and the candidate’s related knowledge, skills, and abilities for the position.
