Salary Range

$23.58 - $27.75 per hour

JOB SUMMARY:

Provide accurate and timely information to accounting for PHH recharge billing. Work with appropriate Manager to purchase all capital asset items related to the Revenue Vehicle Fleet. Ensure all acquisitions are within approved capital expenditure amounts. Assist in the procurement of prorated license plates and coordinate prorate vehicle license plate renewals with the Distribution Services Logistics and Service Department. Oversee pool vehicle reservations to meet promised availability commitments.

Maintain accurate data files on all vehicles, operators, and other information pertinent to the Revenue Fleet. Handle title and registration for apportioned and base plate revenue vehicles, registrations for owner operators. Process, International fuel tax agreement (IFTA) reporting, fuel/mileage, and fuel taxes. Coordinate Western Refining CFN Fuel card program. Reconcile monthly vendor statements and verify invoices against billing copies.


ESSENTIAL FUNCTIONS :


  • Provides accurate and timely billing information to accounting.
  • Charges out Pool vehicle costs to the appropriate user.
  • Works with management on the purchase capital asset vehicles and items related to the Revenue Vehicle Fleet.
  • Provides data to other departments on time and without error.
  • Maintains accurate and up-to-date Revenue fleet data bases and files.
  • Requests for Title and Registration for apportion and base plates are processed in a timely manner and management is kept informed of any delay.
  • Completes IFTA Reporting monthly fuel / mileage envelopes and fuel tax reports within established deadlines.
  • Orders CFN Fueling program cards as needed with correct location info.
  • Processes monthly PHH and CFN billing statements in a timely manner.
  • Reviews and maintains monthly revenue vehicle reports for transfer to revenue vehicle fleet data base.
  • Confirms tooling requirements for new vehicles with appropriate manager and communicates to fleet department items to be ordered and installed on vehicle.
  • Oversees pool vehicle reservations work with fleet shop to ensure pool vehicles are ready to meet promised availability commitments.
  • Works safely at all times. Adheres to all applicable safety policies. Complies with all company policies, procedures, and standards.


ADDITIONAL RESPONSIBILITIES:

  • Works with management on the purchase of all capital asset items related to the Revenue Vehicle Fleet and Purchase Revenue fleet vehicles.
  • Processes purchase orders according to policy and procedure.
  • Assists in coordination of external Vendor activities associated with the assembly of new cab and chassis with either new bodies or remounted bodies.
  • Records and reports Pool vehicle monthly mileage.
  • Provides fuel availability through fuel access key system and PHH cards, cards and/or keys are ordered and distributed as needed.
  • Coordinates vehicles recall programs. Distributes recall materials to the drivers of the affected vehicles and appointments are scheduled as needed.
  • Represents Empire's interests with friendly, business-like honesty and integrity. Vendors and departments are dealt with promptly, fairly, and ethically.
  • Works with corporate purchasing manager when processing incoming new revenue vehicles.
  • Locates and rents vehicles from outside companies as needed to meet pool vehicle commitments.
  • Procures wash tickets from corporate and charges out as used.
  • Addresses any requests for information relating to a revenue vehicle promptly.
  • Processes invoices in Procure It and charges to the correct department/Cost Center.
  • Works within and promotes corporate values.


KNOWLEDGE SKILLS AND ABILITIES :

  • Experience using word processing, spreadsheet, and network software such as Word, Excel, Lotus Notes and DBS.
  • Knowledge of DBS parts and service work order functions
  • Ability and skills to Operate forklifts.
  • Title and registration experience for base plate and apportioned vehicles.
  • Knowledge of international fuel tax agreement (FTA) reporting.
  • Must be able to work independently.
  • Must be willing to follow up on requests for information to make sure all data bases and files are kept up to date.
  • Must have strong knowledge of Microsoft, Excel, DBS, and Procure It.
  • Must be willing to handle various tasks and meet deadlines.
  • Ability to maintain consistent attendance.


EDUCATION AND EXPERIENCE:

  • Proof of high school diploma or General Education Degree (GED).
  • Experience in both parts and automotive or truck service operations and systems.
  • General knowledge of automotive and truck planning, controlling, organizing, scheduling, cost analysis and cost estimating.
  • Must be able to communicate (speak, read, comprehend, write) in English.
  • Prior experience working with spread sheets and importing data for reports.
