POSITION OVERVIEW



  • Grade(s):  9th - 12th

The Office Manager plays a central role in ensuring an orderly, responsive, and open school. In addition to maintaining the school’s administrative systems and routines, the Office Manager functions as the primary contact person for all of the school’s constituents.

DUTIES/RESPONSIBILITIES


  • Oversee the day-to-day activities of the school and serve as the main point of contact in the school reception area.

  • Greet and document all visitors (signing in visitors, ensuring that students only leave with authorized parents/guardians, monitoring and controlling access to the school, etc.).

  • Prepares letters, memos, forms, and reports according to written or verbal instructions.

  • Help execute logistics and preparations for school events and activities as needed

  • Prepare set-up for staff meetings, staff retreats, and annual evaluations.

  • Coordinate on-site components of school financial systems such as purchase orders, payroll records, grant reports, and financial forms.

  • Plans, manages, and maintains an accurate calendar of meetings, conference rooms, and other commitments while balancing competing scheduling priorities.

  • Organizing and managing files, acting as receptionist, scheduling meetings and appointments, and supporting other staff with organizational tasks.

  • Perform other duties as outlined by the Director of Operations.

  • Complies with all charter, federal, state, and local laws, and regulations, including the NYS Department of Education, Department of Health, and NYS Office of Children and Family Services

  • Adheres to organization policies and procedures; promotes and supports mission, vision, and values, including developing and participating in internal surveys and data collection for continuous improvement initiatives.

EDUCATION/EXPERIENCE  


  • High School Diploma/GED required.

  • Bachelor's Degree from an accredited College or University is preferred.

  • 2 to 3 years of office experience, preferably in an educational setting.

  • Knowledge of proper office procedures, including filing, answering the telephone professionally, photocopying, greeting all visitors cordially, and handling information with confidentiality

  • Preferred experience working directly with students, preferably required in the charter, private, or public school environment.

  • Prior experience working in schools and urban communities is preferred but not required.

  • Ability to work a flexible schedule outside of regular business hours.

  • Aptitude to create and work within an inclusive environment that honors and supports a diversity of backgrounds and perspectives.

KIPP Capital Region offers a competitive salary ranging from $68,400 to $75,600 for this exempt role.

Salaries are determined using an equitable compensation scale that accounts for years of experience relevant to the role and longevity within the KIPP network. KIPP Capital Region will evaluate and determine the step/level a new hire will be placed within our grade salary scale at point of hire.
