GENERAL SUMMARY/ OVERVIEW STATEMENT:




This position's hours will be Monday- Friday Days



The CCI Lab Tech/Phlebotomists are at the front lines of customer services for the CCI and provide phlebotomy, processing, and medical assistant services, are responsible for sample storage and shipping, and perform several administrative activities to maintain the operations of the units.


The CCI Lab Tech/Phlebotomists provide phlebotomy services for all research patients seen in the Center for Clinical Investigation and off-unit. They process and ship specimen samples for research studies and maintain freezer storage for research samples. They also perform a variety of administrative support services in the laboratory to receive patients and specimens, ensure an orderly, clean, well-run workplace, provide a positive experience for CCI users, and promote positive research outcomes.


This position reports to the Operations Manager and operates within established organizational and departmental policies and procedures.



PRINCIPAL DUTIES AND RESPONSIBILITIES:



  • Quality of Team and Customer Interactions: Quality of the interactions within a team structure under the direction of the Outpatient Manager, Lab Supervisor, and CCI Director to ensure an efficient and high quality phlebotomy and specimen-processing environment while providing customer oriented services.
  • Perform receptionist, clerical and other functions as needed to support the efficient operation of the clinic. Maintain patient flow by ensuring that rooms are efficiently utilized. Perform check in and check out at appropriate locations. Verify visit times for administrative purposes. Answers phones, schedules and confirms appointments and assists with other administrative duties on an as needed basis, in a manner consistent with BWH etiquette.

  • Prepare patients for their visit, examination, procedure, and/or treatment in accordance with established procedures. Obtain vital signs as necessary. As instructed, document the reason for the visit based on information received from the patient. Use recognized and accurate medical terminology and abbreviations in all documentation.

  • Accepts constructive criticism regarding own performance and strives to make improvements.

  • Adheres to policies established for meals, breaks, dress code, and parking.

  • Exhibits courtesy and respect to patients, families, physicians, clients, and coworkers. All actions and interactions contribute to a civil, safe and productive work environment.


  • Phlebotomy and Patient Interaction: Preparing patients for their visit, examination, procedure, and/or treatment in accordance with established procedures. Use recognized and accurate medical terminology and abbreviations in all documentation.
  • Perform phlebotomy on all patient populations and obtain samples using standard procedures in the Center for Clinical Investigation clinical space and department clinical spaces throughout the campus.

  • Obtain vital signs and perform EKGs as necessary.

  • Understand through yearly competencies, all aspects of phlebotomy including, age specific competencies, the specific procedures needed for pediatric patients (if applicable).

  • Assume accountability for his/her position. Performs all other duties/responsibilities as directed. Perform all activities in a highly professional manner with colleagues, research teams and subjects.

  • Maintain work area in a neat, orderly, and well-stocked manner.

  • Report for work on time and give adequate notice of absenteeism or tardiness.


  • Order Interpretation, Specimen Processing: Interpret orders and perform routine specimen analysis using waived instrumentation.
  • Interpret and follow research orders for processing. Review draft order sets for research teams.

  • Makes sure that specimens are handled in the order of established priority.

  • Ensures quality and timeliness of collecting and/or centrifuging and/or separating and aliquot specimens according to established procedures.

  • Process a variety of specimens in accordance to established protocols.

  • Enter data into CCI, hospital and laboratory information systems.


  • Handling, Labeling and Shipping Specimens: Adhering to the standards of labeling specimen collection and storage containers.
  • Labels specimen collection and storage containers. Completes all documentation required for individual specimens according to research protocol requirements and within the guidelines and policies of the CCI Laboratories.

  • Accurately label and log samples into freezer storage system. Maintain inventory and specimen data for all freezer samples. Retrieve samples for study teams.

  • Responsible for ensuring distribution of specimens to the appropriate laboratory or destination as designated by individual research protocols.

  • Review freezer report and respond to inquiries regarding sample storage.


  • Maintaining Equipment: Maintains laboratory instrumentation to performance standards.
  • Responsible for maintaining equipment logs and maintenance schedules and scheduling maintenance and repair activities. Collects data/information to discuss any problems and initiate remedial action as necessary or instructed.

  • Responsible for daily cleaning and decontamination of equipment as appropriate.

  • Participates in the investigation of new equipment and instrumentation and makes recommendations based on equipment utility and performance. Orders equipment as required.


  • Maintaining Inventory and Supplies: Maintaining an adequate inventory of supplies used by the CCI.
  • Maintain and review standard supply list annually.

  • Responsible for maintaining an adequate inventory of supplies. This includes but is not restricted to ordering supplies as needed; maintaining proper storage of reagents and supplies, and stocking the lab and exam rooms with supplies and maintaining all appropriate records.

  • Maintain a high quality patient care environment by cleaning, preparing, and stocking all examination rooms and treatment areas in accordance with established standards. Assist in the care, cleaning, sterilization, and maintenance of medical equipment and instruments. This includes monitoring relevant expiration dates and established maintenance schedules.


  • Maintaining Policies, Safety Standards, and Team Operational Standards: Maintaining established policies, procedures, objectives, quality assurance, safety, environmental and infection controls.
  • Assist with the establishment of productive teamwork activities and proper adherence to procedures and policies for personnel in the phlebotomy and specimen processing laboratory.

  • Ensure compliance with all BWH and CCI policies (e.g., BWH Care Standards, BWH Workplace Civility, BWH Code of Conduct.)

  • Document incidents according to CCI standard process.

  • Complete daily checklists and performs tasks included per location checklist.

  • Support unit readiness audits.

  • Routinely undertake additional tasks when his/her assignment is completed.


  • Training and Organizational Enhancement: Contributing to continuous improvement of the CCI laboratories and staff. Performing all other duties/responsibilities as directed.
  • Participate in internal and external continuing education programs.

  • Assist with the orientation and training of new lab techs or coordinators.

  • Participate in projects to continually enhance the work environment and customer services of the CCI labs.





  • Qualifications

    QUALIFICATIONS:



    • Phlebotomy experience and demonstrated proficiency in the phlebotomy field.

    • Six (6) months of specimen processing experience preferred

    • High school diploma or equivalent required

    • Certificate of completion in Phlebotomy or Medical Assisting or successful completion of a phlebotomy course as part of an associate or bachelor degree program such as nursing


    SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:



    • Demonstrated interpersonal, organizational, and telephone skills required

    • Demonstrated ability to work independently, prioritize tasks, perform multiple tasks efficiently and accurately, take initiative and maintain organized working conditions (even in stressful situations) required

    • Must be competent in phlebotomy skills/competency checklist by end of introductory period or position will be forfeited

    • Clerical experience including medical terminology required, preferably in a laboratory setting

    • Ability to problem solve and prioritize. Must be able to make fast, educated decisions in emergency situations.

    • Ability to read and interpret documents accurately such as safety rules and research visit orders.

    • Ability to calculate figures and amounts such as proportions, percentages and volume.

    • Excellent customer service skills in order to deal with high volume of research patients.

    • Ability to effectively deal with a wide range of personalities, technical and support staff.

    • Knowledge of aseptic technique and Universal Precautions.
