The Equipment Administrator works closely with the Equipment and Human Resource Departments on various day-to-day projects, reports and activities within the function. This position also assists the Project Controller and/or Accounting Manager as needed.
RESPONSIBILITIES
Serve as a liaison between Fleet Vendors and Dragados Corporate in all matters related with the vehicle fleet inventory
Coordinate new leases, deliveries and returns
Maintain the leased vehicle inventory including Vendor, Unit ID, VIN, driver, vehicle description, department, age, type of lease, contract mileage, rental price, current mileage
Maintain a log of drivers including vehicle assigned, date delivered or returned, driver license numbers and expiration date
Obtain driver Vehicle Acknowledgment forms from new drivers, explain the vehicle policy and instructions if involved in an accident
Request new maintenance and fuel cards as needed
Assist drivers to contact workshops for leased vehicles services (flat/change tires).
Notify drivers of vehicle registration renewals, recalls, inspections, scheduled maintenance and ticket violations
Request and coordinate lease renewals, relocations and returns as required.
Coordinate, verify, and monitor all reimbursement from Commercial Fleet Incentive Programs
Provide new insurance card to drivers upon renewals
Analysis of Fleet Vendor monthly invoices, by vehicle, department and driver
Collect driver mileage reports and fuel receipts, summarize and submit to Dragados Corporate
Perform other duties as assigned and required
