Senior Manager, Management Services
Job Purpose
The position outlined includes duties and responsibilities relating to the following major areas:
Support all GM&RA departments on financial operations/ planning & control.
Support all GM&RA departments on outsourcing, vendors, and contract management.
Serve as the GM&RA liaison with BDI Legal and Finance departments.
Main Responsibilities, Activities, Duties, and Tasks
Support all GM&RA Departments on financial operations/ planning & control
Work with the Head of Management Services for the coordination of GM&RA Operating Expenses management including but not limited to:
Define and manage the GM&RA financial/ planning & control processes consistently to the GM&RA activity/project plans and to global Bracco financial processes.
Coordinate the processes during all the steps (e.g. plan and budget preparation and revision, cost tracking, monitoring and reporting).
Prepare and distribute specific budget templates to the GM&RA departments.
Scheduling and facilitating meetings with the various line managers/ teams in order to capture the information for the proposed budget and periodically revise the operating expenses.
Aggregate global budget with all received input, adding additional information as necessary interacting with HR and finance controllers.
Accurately insert data into the Bracco Cost Controlling systems
Create and provide periodic and ad hoc actual spending reporting and analysis.
Interface the Planning & Control function for the management of TMS (Time Management System) including but not limited to assuring the availability of relevant TMS codes, providing a monthly check for TMS completion, produce analysis of GM&RA personnel time allocation
Support all GM&RA Departments on outsourcing, vendor and contract management
Work with the Head of Management Services and the GM&RA departments and teams for the management of outsourcing and contract management processes, with specific focus to North America and Non-EU geographies. Including but not limited to:
Identify potential vendors and address requests for information and for proposals.
Support the GM&RA departments and teams in the vendor selection process up to the choice of the best candidate.
Interact with Legal department for the request/definition of contractual narrative.
Manage the contract negotiation and preparation steps consistently to Legal processes up to final contract signature.
Monitor the contract execution with specific focus on control of financial/payments process
Maintain global and ad hoc vendor/contract databases
Serve as the GM&RA Liaison with BDI Legal and Finance Departments
Provide Non-Project budget/forecast to Finance for all GM&RA BDI departments and coordinate the process for periodic accrual estimate.
Manage and provide quarterly accruals to Finance.
Work with BDI Finance for the continuous update/maintenance of accounting system (e.g. SAP).
Interact with BDI legal for the use of the Contract Authorization Tool (CAT) and the contract database maintenance

Education in Business, Administration & Management or equivalent
Professional Experience, Knowledge & Technical Skills
5 or more years of experience in industrial planning & control and vendor/contract management, preferably in the pharma business
Knowledge in project management area, even though without primary responsibilities
Excellent oral and writing communication skills
Excellent computer skills and knowledge of major applications
