The College of Applied Health Sciences is accepting applications for an Office Support Specialist within the Business Office in Disability Resources and Educational Services. This position will serve as first point of contact and receptionist for the department of 45+ staff. Provide administrative support to the DRES Business Office, Interpreting and Live Captioning division, Testing Accommodation Center, Access Specialists, Mental Health Services, and other departments as needed. The Office Support Specialist will also handle confidential disability documentation and engages in sensitive conversations about disability.



Major Duties and Responsibilities


  • Answers main departmental phones and e-mails from parents, students, and outside entities regarding sensitive disability documentation and procedures. Serves as the first point of contact for the department, and replies to inquiries regarding DRES secure services, policies, and procedures.
  • Responsible for monitoring live captioning requests from students, staff, and visitors. Enters requests into the scheduling portal. Back-up administrative support for the Interpreting and Live Captioning division. Problem-solve issues with scheduling and last-minute requests. Train interns to assist in scheduling for the Interpreting and Live Captioning division. Coordinate with staff for scheduling events on campus.
  • P-Card holder and Chrome River delegate for reconciliation for all staff.
  • Scans incoming confidential disability related documents for Access Specialists and Mental Health staff.
  • Responsible for office supply inventory for the department. Initiates and orders small purchases for inventory replacement and staff requests. Separates and distributes incoming orders. Reviews and distributes incoming mail and fax submittals for the department.
  • Manage and maintain confidential calendar appointments for Access Specialists.
  • Maintains sensitive and confidential Student Service archives and disability related documentation in accordance with departmental policies and procedures.
  • Other related duties as assigned including assisting the Testing Accommodations Center as needed.


Additional Physical Demands

This position is fully onsite due to the nature of the interactions with walk-in clients needing support/services and front office needs. Most duties will fall within normal work hours but there may be rare occasions where work is needed outside of those hours.



Minimum Qualifications

  • High school diploma or equivalent.

  • Any one or combination totaling two (2) years (24 months) from the categories below:

    • College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:

      • 30 semester hours equals one (1) year (12 months)

      • Associate's Degree (60 semester hours) equals eighteen months (18 months)

      • 90 semester hours equals two (2) years (24 months)

      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)



    • Work experience performing office/clerical activities, including the use of computer systems.



  • One (1) year (12 months) of work experience comparable to the second level of this series.


Preferred Qualifications



Work experience performing higher level, confidential clerical support including expertise with Microsoft Office Suite.
Strong customer service skills.



Appointment Information


This is a 100% full-time Civil Service 3243 - Office Support Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after 6/3/2024. The salary for this position is set by a collective bargaining agreement and the rate for the position is $20.718.
