The Department of Pediatrics employs nearly 1,000 faculty and staff who work alongside employees of Riley Hospital for Children and students of IU School of Medicine to make Riley Children's Health Indiana's largest and most skilled pediatric system. The Department of Pediatrics at Indiana University School of Medicine offers comprehensive training for pediatricians' from medical school to lifelong state-of-the-art learning modules for practicing physicians. Job Summary



Department-Specific Responsibilities


  • Provides project management support for the Department of Pediatrics Education programs, assisting in the management of the Diversity, Equity, and Inclusion Committee, Global Health Programs, and the Morris Green Scholars.

  • Provides administrative support to the Vice Chair of Diversity, manage weekly schedule, coordinate and maintain calendar.

  • Assists the Vice Chair in preparing major reports and complex documents for distribution as well as provide support for recruitment events, regional and national conferences, and development efforts. Take meeting minutes, produce, and distribute as requested.

  • Supports and manages education related projects that promote training pipeline programs throughout the department.

  • Effectively uses IU systems to support program needs, including processing orders, reimbursements, gathering data/running reports, preparing correspondence, facilitating agendas and minutes, etc.

  • Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.

  • Participates in the development and implementation of administrative standards, policies and practices for the organization.

  • May perform other duties as assigned and/or needed by the program

General Responsibilities


  • Provides experienced assistance with project management activities, resource allocation, and communication.

  • Develops a schedule designed to meet necessary deadlines and communicates with team members.

  • Monitors project progress and handles highly complex issues that arise.

  • Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project.

  • Allocates tasks and assignments to lower-level appointed staff and monitors their performance.

  • Performs a variety of administrative skills and prepares correspondence related to the project.

EDUCATION



Required



  • High school diploma or equivalent (such as HSED or GED).

WORK EXPERIENCE

  • 4 years of relevant experience.

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

This position is eligible to work a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.



Advertised Salary



$45,000 - $50,000 per year based on experience, skill level, education, and training.
