POSITION SUMMARY:

This position is responsible for providing administrative services to members of a Leadership team to liaise and maintain strong, effective communications with internal and external individuals and various organizations. The role requires exceptional communication and customer service skills in a fast-paced and high-energy environment.

JOB FUNCTIONS AND KEY RESPONSIBILITIES:


  • Responsible for providing complex office administration to ensure the efficient and smooth day-to-day operation of the office.

  • Coordinate appointments, schedules, and calendars.

  • Plan and schedule meetings, Zoom calls and conferences.

  • Coordinate travel / transportation arrangements.

  • Process travel expenses utilizing OFC Concur reporting system.

  • May be called upon to work on confidential and sensitive tasks that must be handled with discretion.

  • May be required to prepare Excel spreadsheets and PowerPoint presentations.

  • Assist Facility Services with Floor management responsibilities as needed.

  • Provide break and lunch relief support to Facilities Services (front desk) Sr. Administrative Assistant.

  • Maintain an organized and fully stocked supply area.

  • Assist with onboarding new employees.

  • Respond to general inquiries and direct to the appropriate department when necessary.

  • Provide back-up support to NGL Logistics & Marketing Sr. Administrative Assistant.

  • Coordinate lunches, training, and companywide events.

  • Create and process POs in Oracle (OFC)

  • Perform other duties and responsibilities as required.

MINIMUM ESSENTIAL QUALIFICATIONS:


  • Three to five years of executive administrative/assistant experience.

  • High school diploma or equivalent required, bachelor’s degree preferred.

  • Strong written and verbal communication skills

  • Experience in managing multiple calendars and travel logistics.

  • Experience processing invoices (preferred experience in OFC)

  • Licensed Notary Preferred

  • Strong interpersonal skills with the ability to work harmoniously in a team setting.

  • Understand others’ emotions and work well with a team to foster cohesion and effective collaboration.

  • Ability to prioritize daily work schedule and function with minimum supervision.

  • Strong organizational skills with the ability to multi-task and prioritize work.

  • Ability to adapt to changes in the work environment, manage competing demands, and able to deal with frequent changes, delays, or unexpected events.

  • Exceptional presentation skills.

  • Proficient in Microsoft Office.

  • Ability to work overtime and adjust work schedule with minimum notice.

  • Able to lift 25 pounds to move files and retrieve information.

  • Regular and reliable attendance
