Job Summary/Basic Function:
To coordinate the daily operations and provide high-level support to the Executives of the program/and or department.
Department Overview:
The College of Arts and Sciences is hiring two Academic Program Coordinators. One will work directly for the Mathematics Department, and the other will work for the Math Learning Center, an award-winning program that supports all students at Boise State University.


While the Academic Program Coordinators will work closely with department and program leadership and faculty, the Coordinator role is not an instructional position.


Instead, program coordinators are the student and faculty-facing administrative support to their units. They help keep the daily operations and administration of their unit running seamlessly, while also providing invaluable support functions to Business Operations Managers and other staff in the unit.
Level Scope:
Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision-making. This level is typically focused on self-development. Requires theoretical knowledge through specific education and training.
Essential Functions:
60% of Time the Academic Programs Coordinator, Associate must:

  • Responsible for the daily operations of assigned program elements
  • Ensure program needs are met, resources are identified and recommendations are implemented for improvements or enhancements.
  • Implement new or revised program goals, processes or activities to achieve effective performance.
  • Recommends necessary changes for improved services and implements, as appropriate.
  • Communicates the development of program activities and implements marketing strategies to promote the success of each program initiative.
  • Prepares reports and maintains records on program activities and progress.
  • Interacts with students, faculty, staff and the community to facilitate program objectives.
  • Performs many complex office tasks
  • Provides program information and program guidance (including rules and requirements) to current and prospective students.
  • Provides substantial support to the admissions committee and applicants in the admissions process.
35% of Time the Academic Programs Coordinator, Associate must:
  • Serves as a first point of contact for students, faculty, and staff. Provides basic organizational information via phone, in person, and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • Manages programmatic functions, including course scheduling support, exam proctoring, adjunct hiring, management of permission numbers, etc.
  • Support the leadership team with projects as assigned
  • Provides stable, consistent front desk customer support for students, faculty, advisors, and other stakeholders. Needs to be able to work in-office, 40 hrs per week
  • Financial support including purchasing and account reconciling
  • Occasional updates to program website as requested
5% of time the Academic Programs Coordinator, Associate must:
  • Perform other duties as assigned

Minimum
Qualifications:
Bachelor's Degree or equivalent relevant professional experience.


Preferred Qualifications:

  • Experience in an administrative or customer-service-oriented field is preferred.
  • Some experience with coordinating small-scale events is preferred
  • Basic knowledge of WordPress is preferred
