Job Description Summary
The Assistant Director of Development (ADO) is responsible for multi-faceted contributions to the biomedical research fundraising program, specifically for Basic Science Departments and basic and translational Centers and Institutes. Duties will include prospect identification, cultivation, stewardship, communications including the development of proposals and other written materials, donor relations, event and meeting organization and data management. Superior writing skills, project management experience, attention to detail, and excellent oral communication skills are essential.
Job Description
Specific Responsibilities:
1. Prospect identification and cultivation. Work collaboratively with the Biomedical Research Development team to identify and cultivate new prospective donors.
2. Prospect management. Primarily support one Director and two Associate Directors on activities related to frontline fundraising and portfolio management. Help to quantify and communicate to Basic Science Department Chairs and Center and Institute Directors using gifts tracking/reporting/moves management system.
3. Coordination of financial data. Oversee the tracking of all gifts to funds under the discretion of Penn Medicine's Chief Scientific Officer and maintain ongoing communication with the School of Medicine's finance office regarding these gift funds.
4. Volunteer involvement. Work with faculty and development colleagues to help plan advisory board meetings, including providing assistance with the production of meeting materials, logistical arrangements, and meeting follow-up. In consultation with the Director of Development, provide high-level volunteer management support for the volunteer council led by Penn Medicine's Chief Scientific Officer.
5. Stewardship. Collaborate with Communications staff on reports to donors, identify opportunities for stewardship, and ensure preparation of proper donor acknowledgement by key faculty members. For larger stewardship reports, and following direction of gift officers, this position will serve as a project manager to ensure deadlines are met.
6. Creating communications pieces for lay audiences. Responsible for creating select proposals, power point slide presentations, outreach and stewardship letters, briefing materials, collateral materials, and other written communications. This will include working with the faculty to gather source material and synthesizing into engaging new content for non-scientific audiences. Materials needed will be for a variety of audiences, including faculty, development colleagues, institutional leadership, prospects, and donors.
7. Special events. Coordinate development events for the team, including event planning, execution and staffing. Independently assist with logistical planning for events, i.e. securing event sites, room reservations, audio-visual equipment, and travel plans. Manages the drafting of invitation correspondence, guest list creation, and attendance reports. Staff and assist with other Penn Medicine Development events as needed.
8. Perform other duties as assigned.

Qualifications:
1. Bachelor's degree and 1-3 years of relevant experience in fast-paced fundraising environment or equivalent combination of education and experience required, preferably in institutional development or a related field, with exposure to development communications, prospect management, annual giving, major gifts, volunteer engagement, and stewardship.
2. Excellent oral and written communication and interpersonal skills.
3. Strong administrative and organizational skills and the ability to establish objectives and organize a successful approach to achieving program goals.
4. Superior attention to detail in an environment where accuracy and timely completion of tasks and adherence to deadlines is critical to maintaining faculty and donor satisfaction. Ability to appropriately handle complex and highly confidential materials.
5. Ability to work and manage time independently,but collaborate to achieve goals as part of a team, including with peers, all levels of managements, and constituents, from donors, volunteers, and alumni to School of Medicine faculty, staff, and administrators.
6. Fluent computer skills required. Proficiency in PowerPoint, Excel, Word, and virtual meeting platforms (Zoom, Teams, etc.) necessary; experience with Salesforce, InDesign, and Adobe Creative Suite a plus.
7. Occasionally lifting 25 pounds or less.
8. Ability to travel both locally and nationally if needed, must be willing to work occasional evenings and weekends.
