Job Summary



This position entails providing general administrative support to the department, including website maintenance, purchasing, and scholarship coordination, as well as specific support to the graduate program as graduate coordinator, including record-keeping and management of recruitment, admissions, and placement of graduate students.


Department Specific Responsibilities


  • Provides guidance to students and faculty regarding policies and procedures for all departmental graduate programs.

  • Screens student concerns, and as appropriate, refers them to the DGS.

  • Assists students with funding options and support, including fellowships and awards.

  • Serves as admissions coordinator for the graduate programs.

  • Provides logistical support for qualifying exams, dissertation proposal defense, and dissertation defense.

  • Collaborates with students on eDoc submission and support.

  • Coordinates events for the Ph.D. programs.

  • Contributes content for the graduate portion of the department website and department bulletin boards.

  • Coordinates departmental prize and fellowship competitions.

  • Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.

  • Accurately maintains electronic records and databases.

  • May prepare and disseminate handouts, presentations, or other materials.

  • May assist with ordering or creation of promotional materials for student organizations or departmental needs.

  • May provide guidance to other Student Services Coordinators.

General Responsibilities


  • Provides administrative support to a department or group of professionals, exercising confidentiality, tact and diplomacy.

  • Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; compiles data for expense and statistical reports.

  • Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.

  • Schedules and confirms appointments, meetings, and travel arrangements; tracks expenses.

  • Participates in the development and implementation of administrative standards, policies and practices for the organization.

  • May perform other duties related to maintaining an internal website and/or working with social media.

EDUCATION



Required



  • High school diploma or equivalent (such as HSED or GED)

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
