About the Position

The Coordinator role is an opportunity to contribute to JFFs important work across the People & Culture (P&C) Team while working in an equity-centered, innovative, and mission-driven environment. Reporting to the Director, People Operations, the Coordinator will be responsible for administrative, scheduling, and team coordination support. This individual will have the opportunity to operate across the P&C Team, collaborating on tasks with members of the People Operations, Talent Acquisition, and Diversity, Equity, Inclusion, Belonging & Wellbeing (DEIBW) teams.

The ideal candidate will be highly organized, curious, able to manage up, and interested in learning new systems and processes. This is a compelling opportunity for a detail-oriented problem solver who is interested in gaining more experience related to operations and administrative support within a People & Culture function.

What You'll Do

Support the successful day-to-day functioning of People & Culture (P&C) tasks and operations

  • Provide scheduling support for the Vice President, P&C (e.g. internal meetings, conference calls and appointments as needed)
  • Act as the Hiring Coordinator for various hiring processes throughout the organization, providing critical support to hiring teams and the Talent Acquisition team by liaising and scheduling interviews with candidates advancing throughout the hiring process
  • Collaborate with the Talent Acquisition team to post job descriptions on internal and external job boards and send out offer letters to potential new hires
  • Collaborate with the People Operations team to conduct employment verifications and support the new hire pre-boarding/onboarding process
  • Work collaboratively with JFFs Finance Team to submit all invoices, progress reports, expense reports and AMEX reconciliations in a timely mannerusing Oracle NetSuite
  • Identify opportunities to streamline current processes in collaboration with P&C colleagues

Ensure strong internal and external communications and collaboration

  • Quickly build trust and rapport with colleagues and effectively liaise across the P&C team and JFFs Business Operations teams (JFFs Finance, Marketing and Communications, Contracts, and IT teams)
  • Build and maintain effective communication with internal and external audiences by representing JFF and stewarding our culture and values
  • Collaborate with P&C colleagues to send out newsletters
  • Support cross-team and/or cross-organization collaboration by maintaining team or project files and tasks on SharePoint, Asana, Greenhouse andother collaborative spaces
  • Work jointly with the People Operations team to manage calendaring all-staff holidays and closures as well as P&C colleagues' birthdays and employment anniversaries
  • Collaborate with peer Coordinators and Executive Assistants across the organization to ensure efficient, comprehensive support to senior leaders and completion of shared role responsibilities

In addition, new employees receive office equipment as needed.

The hiring range for this role is $64,000-$70,000 annually, in alignment to JFFs Coordinator salary band and our compensation philosophy. Starting salaries for new hires will be determined based on a combination of the new hires relevant experience and market demands.
