Governors State University is seeking to hire a Customer Service Assistant who will be responsible for greeting visitors and answering the telephone for the Office of Financial Services and Comptroller. The Customer Service Assistant is responsible for performing a variety of tasks related to the Student Accounts area and backup the Cashier's Office as needed.

Essential Responsibilities


35% Assisting students with all aspects of their student account.



  • Responding to routine inquiries from student emails in both employee's individual email and the student accounts' email.

  • Respond to student telephone calls on both the employee's individual telephone line and the student accounts' telephone line.

  • Establishing manual payment plans.

  • Counseling students on their options for paying down their debt and registering for additional terms.

  • Meeting with students that come to the office to speak with a student accounts team member.

  • Resolve student complaints and refers unresolved customer grievances to supervisor for further investigation.



25% Assist with in-house collections.



  • Assist in reviewing student accounts for accuracy before placement with outside collection agency.

  • Assist with adding collection charges to student accounts.

  • Make collection calls to students as necessary.



15% Customer Service



  • Greet visitors and determine their needs.

  • Handle routine inquiries, requests, or problems.

  • Answer the Financial Services telephone extension.

  • Relay calls and messages to the appropriate staff members.

  • Transfer calls to the correct department.



15% Administrative office duties



  • Receive, sort, open and distribute incoming mail/packages.

  • Responsible for sending items by certified mail, FedEx, UPS, etc.

  • Order/manage office supplies.

  • Create and maintain Financial Services office purchase orders and related invoices.

  • Update the Financial Services website and portal pages.

  • Book rooms as needed for office personnel.



5% Perform cashiering functions in the Cashier's Office as needed to fill in for lunches or days off.



  • Receives payment for fees, bills, and assessments issued by the University; verifies amount due as shown on statement against payment offered, gives change, if necessary, issues receipt, and deposits payments received, within a framework of explicit procedures and instructions and subject to minimal personal discretion.

  • Balances daily transactions.



5% Miscellaneous duties as assigned:



  • Assist supervisor in documenting and maintaining student account correspondence in an organized and timely fashion that will allow other team members to assist students as needed.

  • Documenting, updating, and maintaining all procedures related to student accounts functions.

  • Any situations that arise that may need the attention of the Student Accounts team.


Starting Hourly Rate: $15.00.

(This is a non-unionized position. Salary starts at the base and is determined based on Education and Experience exceeding the minimum qualifications).

Required and Preferred Qualifications

Minimum Qualifications:

1. High school diploma or equivalent.
2. Any one or combination totaling eighteen (18) months from the following categories:
A. College coursework in any discipline as measured by the following conversion table or its proportional equivalent:



  • 30 semester hours equals one (1) year.

  • Associate degree (60 semester hours) equals eighteen (18) months.

  • 90 semester hours equals two (2) years.

  • Bachelor's degree (120 semester hours) equals three (3) years.

B. Responsible work experience in customer services, public relations, office administration, business and financial operations, healthcare administration or other closely related experience.



Preferred Qualifications:

Prior customer service experience.
