Advertised Job Summary:

The Administrative Coordinator provides administrative support to the Office of Advancement in the College of Arts and Sciences. Serves as the initial point of contact answering incoming calls, welcoming, and greeting visitors. Under limited supervision of the university's Lead Senior Director of Advancement, performs duties such as managing calendars, coordinating expense reports, assisting with travel planning, scheduling and/or attending meetings, and managing office supplies and expenses. Supports the office by processing all check requests, travel reimbursements, and invoices for payments. Responsible for performing duties as they relate to sending donor correspondence and proposals, coordinating the gift agreement process, and assisting with gift acknowledgements. Will manage the CRM database for the office by creating and maintaining reports of constituent activity, proactively developing and maintaining confidential donor profile information, and assisting the team with pulling reports. Provide administrative support for college events from planning to completion. Interfaces with a variety of donor constituents and the University community by providing a high level of customer service.


Minimum Qualifications:

Bachelor's degree and 2 years of related experience in business management, public administration, or administrative services; or equivalency.


Preferred Qualifications:

Working knowledge of Outlook, Excel, Power Point and PeopleSoft is recommended. Experience with online file management.


Knowledge/Skills/Abilities:

Knowledge of fundraising database such as Blackbaud CRM is preferred. Working knowledge of an event management system (i.e. 25Live). Attention to detail is imperative. Must be able to multi-task and handle multiple interruptions throughout the day. Ability to establish good working relationships with alumni, students, campus partners, businesses, and general public. Demonstrated self-starter with strong initiative and customer service orientation; volunteer management skills an asset. Ability to frequently exercise high level of independent judgment. Ability to communicate effectively, both verbally and in writing. Ability to work effectively as part of a team and also take initiative when the need arises. Ability to develop and monitor budgets and expenditures for ongoing and special projects.Responsible decision-making, confidentiality, careful discretion and unquestioned accountability is essential. Ability to exercise discretion in interpreting and applying established department and University policies and procedures. Ability to use USC electronic forms including University fiscal tracking, personnel management, travel, and purchasing and some experience with PeopleSoft.Required to conduct business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.

Provide administrative support for College events from planning to completion. Assist the Events Manager with pre-event preparation (i.e. name tags, check-in list, event reminders, etc.), maintaining RSVP lists, support the day/night of, and coordinating event assignments with student ambassadors and volunteers at the direction of the Advancement team. Will assist Advancement team by serving as a point person for guests as needed, which will include listening attentively to guest's requests, keeping records of these requests and working with team to accommodate them.
