Job Description Summary


Reporting directly to the Chair, the Chief of Staff serves as an advisor and member of the Department's executive leadership team. The Chief of Staff handles a variety of critical and sensitive strategic, planning, administrative, operational, and communication matters, interfacing with internal and external PSOM stakeholders, including faculty, staff, students, vendors, alumni,
senior University administrators and leaders. The Chief of Staff will act as a thought partner to the Chair, managing strategic initiatives and facilitating Department-wide goals and priorities. The Chief of Staff is expected to effectively triage any issues/concerns of the Department, deftly handle confidential matters, foster a culture of engagement, and develop/draft complex and sensitive communications along with other forms of communication from the Office of the Chair. The Chief of Staff works in close collaboration with the Executive Vice Chair, the COO, and Vice Chairs of Operations, Informatics, Quality, Faculty Affairs, Education, Diversity, Equity & Inclusion, and Research to ensure overall alignment with departmental initiatives. The incumbent maintains overall responsibility for the Department's Strategic Planning Initiative and is responsible for coordinating the execution of the strategic plan across the system as well as assisting the Chair with creation of key strategic documents such as self-studies of the Department, long-term research and development plans, budget documents/presentations, and executive reports on key metrics/initiatives. The Chief of Staff oversees the communications, donor/alumni outreach, and marketing initiatives for the Department, serving as primary liaison between the Department and Chair's Office and relevant Penn Medicine Departments (including, but not limited, to Office of Public Relations, Office of Strategic Marketing, and Office of Development).




Job Description




The Chief of Staff is a key member of the Department of Pathology and Laboratory Medicine's executive leadership team. The incumbent serves as senior advisor to the Chair in all his functions and missions and is a major contributor to the Department' strategic planning initiatives. A successful candidate will possess excellent decision-making and communication skills, creative problem-solving skills, excellent written and verbal communication, discretion, ability to liaise with and gain consensus among key stakeholders, and a high level of emotional intelligence. The role requires a creative thought leader who can oversee complex strategy/execution, internal and external communications, and the ability to multitask in a fast-paced, highly complex environment.


Position is contingent upon continued funding.


The minimum of a master's degree and 5 to 7 years' experience In a university and/or healthcare setting or equivalent combination of education and experience required. Experience as an executive-level strategic planner and communicator. Demonstrates a strong command of language and creative writing abilities, preferably in the setting of an academic medical center. Long-term strategic thinking skills and creative problem-solving skills. Ability to work comfortably and skillfully with senior executives, faculty, and staff at all levels of Penn Medicine. Ability to think conceptually and to anticipate and respond to varied and demanding needs of a complex academic Department. Demonstrated ability to oversee multiple, high-demanding projects; to establish and meet deadlines; and to anticipate and respond effectively and with good Judgment to undefined needs and unexpected challenges. Knowledge of existing digital and emerging online trends essential. Strong understanding of internet media, search engines, online advertising, social media, and other web-based models of communications. Confidence, imagination, and agility in writing are essential, as Is the ability to synthesize and interpret large quantities of information and to anticipate and respond to a broad range of communication needs. Proven ability to work within a team environment and on project teams. Individual must work In a fast-paced, results-oriented environment.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
