The Radiology Practice Manager receives general direction from the Radiology Director and Medical Director. The Practice Manager is responsible for managing the business and patient care Practice across Mass Eye and Ear Radiology with the focus on managing & developing substantial workflow adjustments, training, and staffing accountably at the Radiology front desk, managing several medical administrative assistants and a referral authorization coordinator.


The Practice manager will also work closely with the clinical leads in multiple modalities as well, this manager is responsible in validating appropriate coverage with the clinical leads. In conjunction with the Radiology Director, the Practice manager is responsible for supporting the operating budget, capital budget and responsible for supporting and monitoring unit cost and expenses. The Practice Manager will provide supervision and mentorship to the Lead Technologists as well as the clinical and non-clinical staff. The Practice Manager collaborates closely with QA Management, Leadership, Safety, MGB shared services such as MGH Speech, Radiology information services, Anesthesia and Surgery to ensure consistent, quality care to all patients across all modalities. The Practice Manager is responsible for ensuring patient and family-centered care and referring physician satisfaction. Proactively measures and provides a vision for the patient's experience in the department and innovative solutions to problems. Works with the other departments and clinics to maintain an environment committed to the highest standards of quality care, patient safety, and customer service by identifying and implementing innovative approaches to improving care and workflow. With the MRI lead technologist, works supporting MRI safety team to ensure the MRI department is in line with current Joint Commission (JC) and American College of Radiology (ACR) standards. Collaborates with CT & X-Ray Lead technologist to review initiatives surrounding radiation dose reduction according to ACR and Joint Commission standards. The Practice manager will also work with the Ultrasound Lead, to ensure proper guidelines are in place for procedure time out and disinfection of probes according to the Joint Commission guidelines.


It is important that the Practice Manager works closely with the Radiology Director to develop a collaborative relationship with the other departments, clinics and physicians to better support and promote the departments overall short and long-term goals.



ESSENTIAL FUNCTIONS



  • The Practice Manager is responsible for managing the business and patient care Practice. Needs to be available on a 24/7 basis 365 days a year for urgent Practice or patient needs, if not available due to vacation, sick or personal days will need to ensure coverage.

  • Works closely with Radiology Director to provide quality, safe patient care.

  • The focus of this position will be directly managing & developing substantial workflow adjustments, training, and staffing accountably at the Radiology front desk, managing several medical administrative assistants and a referral authorization coordinator.

  • The Practice manager will provide clear direction, make improvements in workflow at the front desk to support clinical operations.

  • The Practice Manager collaborates closely with Radiology Director to ensure consistent, quality care to all patients. Attends/participates in hospital meetings such as Clinical Leadership, Partners MRI Safety, and Business Development. Leads and collaborates on specific projects as it relates to Radiology Practice and process improvement.

  • Approves all payroll, and expenditures. Approves or prepares work schedules and project plans; includes work assignments and emergency coverage for evenings, weekends and holidays (as needed). Oversees the approval of employee time off; always ensuring adequate staffing.

  • In collaboration with Radiology Director interviews, hires, orients, and supervises all non-clinical support staff. Provides immediate supervision and corrective action (as needed), assigns work, evaluates performance, and ensures on-going competency based and required training is established and documented as well as completing performance evaluations.

  • Works with clinic department managers and medical administrative assistance and outside organizations to maintain an environment committed to the highest standards of quality care, patient safety, and customer service by identifying and implementing innovative approaches to improving care. It is important that the Practice Manager develops a collaborative relationship with the other departments and physicians to better support and promote the departments overall short- and long-term goals.

  • Assigns and prioritizes workloads; evaluates and standardizes operating procedures and effectively troubleshoots and resolves issues as they arise. Informs staff of inter and intradepartmental policy and procedure changes.

  • Responsible for coordination of Anesthesia and Pediatric cases for Radiology.

  • Coordinate with MGH Speech on modified Barium swallow scans.

  • Monitors and manages the unscheduled Radiology order workque, works with clinics on workflow, accountably, training and education to ensure all patients have Radiology exam scheduled in a timey manner safely.

  • Will mange the Radiology template for all departments in Radiology regarding patient appointments, responsible for placing holds, blocking slots for meetings or downtime.

  • Will work closely with research project investigator who utilize Radiology services as part of the study. Radiology practice manger will schedule patients and coordinate appointments.

  • Monitors daily clinical flow to maximize patient encounters. Ensures that each patient's medical record is prepared in advance and ready for the clinical session. Takes measures to alleviate clinical delays

  • Documents competently in EPIC EHR system.

  • Resolves patient complaints and refers unusual cases to the Patient Care Representative

  • Oversees billing-related activities-e.g. batching, encounter form completion, self-pay agreements, facility fees, etc. Adjusts staff to ensure timely processing of all billing related information

  • Runs monthly billing reports (missing charges lists) and ensures all visits, tests that have been billed.

  • Ensures staff as well as self complies with hospital and departmental policies and procedures

  • Maintains strict confidentiality regarding patient, staff and business information. Fosters an atmosphere where staff maintain the same standard

  • Prepares and manages all revenue, operating and capital expense budgets. Responsible for the monitoring as well as achieving the operating budget each year. Demonstrates the ability to adjust the practice throughout the year in support of the operating budget. Collaborates with the Clinical Directors and works on business plan development to introduce and support new clinical programs or technologies. Writes a weekly report that includes volume and service metrics that affect the department.

  • The Practice Manager works closely with all Radiology leads to ensure exam prep (MRI/CT safety screening, Ultrasound and X-Ray) are documented and complete prior to the patient arriving.

  • Develops and maintains clinical oversight of policies for Off-Campus practices to ensure continuity of care with MGH department standards.

  • Work in partnership with the Radiology Director to ensure adequate supplies are ordered for front desk operations.

  • Works closely with the Radiology Informatics Team to identifying present and future needs for innovative IT solutions. Contributes to the implementation of workflow and system improvements, meeting the needs of the service/department, utilizing the MGH systems including but not limited to EPIC, peoplesoft, Kronos, MEE One View applications such as Powershare and Powerfoil.

  • Keep informed on current technologies and performance improvement strategies by reading journals, attending professional meetings, etc. Represent the department at various meetings within and outside the hospital.

  • Cross covers at front desk when medical administrative support staff are absent or in need of help; may include answering telephones, scheduling appointments, assisting with registration, checking in patients in and out, greeting patients, scheduling anesthesia cases, processing paperwork, coordinating testing and other administrative tasks.

  • Special projects as assigned by Radiology Director.






Qualifications

Qualifications



  • Associates Degree required; Bachelor's Degree preferred

  • Minimum of 5 years of related experience including years of supervisory experience.

  • Experience in a high-volume healthcare setting, preferable in ambulatory practice.

  • Prior experience working in a Radiology Department

  • EPIC experience in Radiant and Cadence

  • Radiology Prior Authorization experience

  • Familar with Radiology CPT Codes.
