Job Description:

The OB Admitting Officer/Interviewer is responsible for facilitating and expediting an efficient admission process (patient flow), while ensuring all data collected is accurate and complete. Initiates patient placement from urgent and scheduled admissions. Administratively responsible for all admissions, including the Labor and Delivery unit and NICU. Acquires and maintains working knowledge and associated skills to perform all functions compliant with healthcare standards established by the Department, Hospital Administration, Medical Staff, and outside regulatory and accreditation agencies. Demonstrates the ability to identify and assess challenging situations, make sound decisions, and utilize standard operating procedures. Interacts with patients, families, visitors, and all levels of staff in a professional and diplomatic manner, facilitating exceptional patient experience at a critical touchpoint in the patient care journey.
Shift hours: 7:30AM to 4:00PM, alternating weekends.



PRINCIPAL DUTIES AND RESPONSIBILITIES:







  • Conducts detailed admission process; greets and interviews patient/family in a timely, efficient, and courteous manner; obtains, updates and/or verifies all data to complete required admission, including demographic and financial information, ensuring both timely access and accurate billing. Distributes and obtains all pertinent information regarding hospital policies, such as patient bill of rights and responsibilities, code of conduct, advanced care directive, and others.




  • Creates scheduled current or future admission encounters in medical record system (EPIC). Enters/scans data pertinent to patient admission, including demographic data for parent and newborn, ensuring compliance with hospital policy.

  • Navigates patients to Procedural Areas, Labor & Delivery, or Inpatient Unit, as appropriate (wheelchair and walking)


  • Maintains obstetrical/newborn census, implementing obstetrical admission, discharge and transfer process.


  • Determines medical-legal cases; initiates communication with the Medical Examiner's Office as required in a timely, efficient manner; authorizes and coordinates autopsy permits and post-mortem examinations; prepares and issues death certificates in accordance with Commonwealth of Massachusetts Department of Public Health statutes and coordinates expedient neo-natal removals with Funeral Directors.


  • Responds to and resolves patient/family concerns in a timely and efficient manner.


  • Collects and secures patient valuables in compliance with Patient Valuables Policy. Serves as central contact for Public Safety with facilitation of valuables return after hours.


  • Maintains patient confidentiality and privacy by accessing patient information only to the extent necessary to fulfill assigned duties. Executes departmental policy in regard to HIPAA requirements. All patient information must be kept private, confidential and secure. All lists, reports, files and documents must always be properly secured and stored. Interviews and examinations should be conducted in such a manner as to afford the patient reasonable audio and visual privacy.


  • Performs other related duties and special projects.







Qualifications

QUALIFICATIONS:





  • Associates degree preferred.

  • Extensive experience accepted, in lieu of degree.

  • Minimum of 3-6 months experience in an office, community or health care setting.




SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:





  • Requires interpersonal relationship skills to effectively communicate with patients, their families, physicians, Nurses, unit coordinators, and other support personnel.

  • Requires ability to type and the ability to learn to use a computer.

  • Requires good judgment, tact, sensitivity and the ability to function in a stressful environment.

  • Requires the ability to maintain confidentiality regarding patients, their medical histories, demographic information, etc.


  • Uniform required.
