About the Position:

The Director, Payroll Administration is a newly created position within JFFs central Finance function, that plays an integral role in the hands-on leadership for the payroll team at JFF r, . Reporting to the Director of Accounting, the core responsibility of this role is to oversee and lead JFFs payroll administration, ensuring accuracy, efficiency, and compliance with relevant regulations and policies. As the Director of Payroll Administration, you will serve as a strategic partner across multiple teams including but not limited to different teams within Finance, People and Culture, IT, and other key stakeholders, across Operations and JFF to ensure seamless integration and coordination between payroll, Total Rewards, and other relevant systems and departments. You will also serve as an ADP Workforce Now expert and develop and implement payroll standard operating procedures and processes to optimize efficiency and effectiveness.

This role offers the opportunity to provide payroll oversight for the entire organization and service as a central link, ensuring best practices and strong customer service around payroll processing, regulations and compliance, and managing relationships with external vendors. You will have the chance to create opportunities, to build payroll processes, implement best practices, and problem-solve to help ensure efficiency and effectiveness for the payroll function. The Director will be working across multiple complex systems and will oversee payroll for employees working from different states across the country. They will bring a strong attention to detail in creating standard operating procedures for this integral role at JFF.

The ideal candidate is a strategic and consultative partner who possesses an extensive background in payroll regulations and compliance, along with working with benefits. This is a great opportunity for someone who has experience working with different payroll systems, is familiar with utilizing ADP Workforce Now in multiple states and can leverage their background within areas including but not limited to compliance, tax filings, and processing benefits for national non-profit organization.

What youll do:

Oversee and implement strategy around payroll processing and compliance across the organization

  • Develop and implement a vision for payroll standard operating procedures and processes to optimize efficiency and effectiveness for the entire organization.
  • Create and lead a strategy for updating compliance guidelines, nsuring the organization meets all the requirements and standards for payroll, which includes but is not limited to, final check requirements by state, timely and accurate processing/remittance of 403b and 457b employees and employer contributions, and remittance of employees benefit deductions to external vendors.
  • Build out a strategy to help support continued best practices and areas of improvement for processing payroll and maintaining compliance in federal, state and local tax fillings.
  • Partner with other internal stakeholders to develop and implement integration between payroll systems to increase accuracy and efficiency.
  • Leverage industry trends, best practices, and stay up to date on changes in legislation related to payroll processing to maintain compliance for the organization.

Operationalize and implement best practices for payroll with key internal and external stakeholders

  • Oversee and process bi-weekly payroll for approximately 400 employees in an accurate and timely manner utilizing ADP Workforce Now platform.
  • Create, maintain, and build strong relationships with internal and external stakeholders, including vendors and regulatory authorities to ensure we meet requirements for payroll and compliance.
  • Drive continuous improvement initiatives to enhance payroll operations and deliver exceptional service to the organization.
  • Oversee timely and accurate filling and remittance of federal, state and local taxes, unemployment insurance, and employees' deductions, and benefits.

Manage overall reporting, tax filings, and other funding regulations connected to payroll and benefits

  • Conduct year-end processing, partnering with people operations to ensure year-end tax fillings are all inclusive of additional taxable benefits, running ad-hoc reports, processing quarterly wage and tax adjustments and maintaining all payroll files and records.
  • Partner with Director, Total Rewards to accurately estimate fiscal year-end bonus accruals and other compensations.
  • Oversee and implement best practices surrounding Federal tax filings including 941s, multiple State tax filings, local tax filings, and unemployment insurance.
  • Collaborate with the head of Total Rewards on People and Culture along with other stakeholders to ensure seamless integration and coordination between payroll, Total Rewards and other relevant systems and departments.
  • Oversee and lead annual audits including 403b audits, workers compensation audit and other payroll related audits.

Who You Are:

  • You bring extensive experience overseeing strategy for payroll processing, compliance, and maintaining standards around reporting, tax filings, and benefits for a complex organization with employees in multiple states which leverages numerous systems to meet guidelines and ensure the day to day needs of the organization are met. (New hires at the Director I level at JFF typically bring 12+ years of prior professional experience through a combination of full-time, part-time, internship, and/or freelance positions)
  • You have hands-on experience working within ADP Workforce Now in multiple states and have leveraged your vision for best practices to implement payroll standards, operating procedures and processes to help optimize efficiency and effectiveness for an organization
  • You have a proven track record and vision for building out implementing standard operating procedures with a strong attention to detail, around payroll, including processing payroll, reporting, tax filings and maintaining employee payroll records as required.
  • You have experience in leading and managing compliance guidelines to ensure the organization meets all the requirements and standards for payroll, final check requirements, timely and accurate processing/remittance of 403b and 457b employees and employer contributions, and remittance of employees benefit deductions.
  • You are committed to building and strengthening relationships with external vendors as it relates to benefit payments to ensure accuracy and compliance.
  • You bring a customer-oriented approach to your relationships with internal stakeholders, to ensure a high level of accuracy, efficiency and effectiveness in payroll processing.
  • You have continued to build, maintain, and deepen your knowledge around industry trends, best practices, and have stayed up to date on changes in legislation related to payroll to help implement strategy and maintain compliance for an organization
  • You bring hands-on experience working across multiple Federal tax filing systems including 941s, multiple State tax filings, local tax filings, and unemployment insurance.

The hiring range for this role is $120,000 - $150,000 annually, in alignment to JFFs Director II salary band and our compensation philosophy. Starting salaries for new hires will be determined based on a combination of the new hires relevant experience and market demands.
